Inventory control

I am thinking of using EE for a registration site where the attendees get to select ONE activity for themselves and their guest. However we don’t want to overbook the activities, so does this plugin provide real-time inventory control?

Also, is there a demo set up anywhere?

Hi Mari a,

How are you today?

Event Espresso does have automatic seat/ticket availability/lmit controls, but also waiting list capabilities too.

You can Test Drive Event Espresso (https://eventespresso.com/pricing/test-drive-event-espresso/) for free on our demo site.

Thank you, I found the demo. It seems to be more individual -event based- rather than a global conference registration. Is there some way to make it function like this: I just want to have one form where attendees submit some basic info (name/phone) and select an event from a dropdown. Are there shortcodes to use or easy ways to like integrate with gravity forms?

Event Espresso works by the individual selecting an event before registering. But with the WP Users Integration (https://eventespresso.com/product/espresso-members/) add-on if your customers are logged-in to your website it will collect basic information from them automatically. Then they can register for each event more quickly or multiple at the same time with the Multiple Event Registration addon (https://eventespresso.com/product/espresso-multiple/).

Is there a way with the multiple event registration add-on is to limit them to 2 events? one for them and one for a guest? or one event with a group of 2 (both main person and guest registered for the same event)? Or in general, a way to limit them to registering only for 1 event.

Hmmm…

The only function we have in Event Espresso that might assist with prohibiting attendees from registering for multiple events is the pre-approval feature. That will allow you to pre-approve your attendees to register so you don’t get duplicates.
https://eventespresso.com/features/admin-pre-approval/

The standard registration pages allow you to specify how many people in a group can register. You can limit to as many people as you want. If you use the Multiple Event Registration addon (https://eventespresso.com/product/espresso-multiple/) with the Add to Cart functions they can bypass that process.

Thanks! I am sorry, I have so many questions, but I really can’t drop the money until I know this will work, because I’ve already spent money on other things that wont work.

In the pre-approval process how does that work if all the events are free? Is the registration complete when the admin approves w/ no further input needed from the user? Is the inventory adjusted on booking or approval?

I don’t think it will work for me if the inventory isn’t adjusted right away bc it would still allow for overbooking if the admin is slow on approvals.. they could just deny the overbooked events but then those people need to rebook something else and their second choice might already be taken.

It says you can decide whether the approved but non-paid count towards the attendee limits, but can you adjust settings so non-approved count toward the limits? OR is there a simple way for me to hack the code to provide for that. At this point, I can’t find anything that does what I need it to and I don’t care how ugly I have to get with code hacks, just as long as it works.

Is there a way for me to bypass the default forms altogether and use the API and gravity forms to register people. That way I will have much more control over my form and can do it with a single form.

Or say I don’t do approvals, is there an easy way for me to implement a hook that would kick back an error if they have already registered for 2 events?

Also, does the inventory/limit apply globally to all event sessions/times? Say I have an event that has 6 time slots and a max of 6 per time slot, do I have to enter them all as separate events? It seems that way from the admin interface.. even tho I can have time slots for an event I can’t specify capacity for each slot.

Normally, the pre-approval feature sends an email to the attendee to complete their registration by paying the registration fee. If your events are free then people will automatically be enrolled because the won’t need to pay the registration fee.  They will still get the email that they are approved, but you can change the invoice/payment Reminder message to be something different and more applicable to your situation.

You can use a setting in Event Espresso to count a registration toward the  attendee limit when they submit their registration or after payment. The first option is probably what you’re looking for. If your event is free, then they will automatically be counted toward the registration limit because they don’t have to pay.

I can’t give you any advice on integrations with Gravity Forms, and to kick back an error if they’ve registered for two events might be possible if you can build that error system.

The attendee limit field overrides time slot limits. So you will want to use one or the other, but not both.

Does that help?
