Event Functionality for a Camp Registration

A client of mine wants to be able to camp/workshop registrations and I thought Event Espresso might be a good fit. Can you please affirm that Event Espresso can handle the following necessities.

Does the system allow users to register with the site so that future registrations/event ticket purchases will be easier or does a person have to fill out their information every time they want to purchase an event ticket/register for a camp/workshop?

Is it possible to create custom taxonomies for the calendar so that there is more than just a location and category to search on? For example, is it possible for users to be able to search the calendar by Age group, Term (summer, winter, fall, spring), Subject (science, craft, camp, etc) and Status (cancelled, open, full, etc)?

Is it possible for the calendar to be able to show vacation dates. If there is a holiday the calendar entry for that day would need to show HOLIDAY or CLOSED (no class). For example, if the camp office is closed on Christmas and New Year’s, could that be displayed on the calendar easily? If so, how?

Does the calendar clearly show if an event is cancelled? For example if there is a snow storm and the classes are canceled we would like to display CANCELED on the calendar for only the one event and overwrite the existing information. I tried canceling one of your demo events and nothing on the calendar indicated that the event was canceled. Furthermore, if an event was on multiple dates, the detailed listing showed only one of the dates and it wasn’t the event date that I selected. So if an event happens on more than one date and only one of the dates is canceled, is it possible to only update one of the dates as being canceled and not all the dates for one of the events?

Sorry – I forgot I had a few more.

Is it possible to implement a sibling discount (one parent paying for more than one child for a single event) or multiple registration discount (one parent signing up one or more children for more than one event)? Is it possible to do an early-bird discount? Can we offer discounts on a per event basis as well?

Is it possible to implement a handling fee or online processing fee that is either a percentage of the total price or a fixed price per registration?

If a camp runs for 4 days, is it possible to allow people to register for all 4 days or only 1, 2 or 3 days? My client needs to be able to allow people to do this. It’s similar to conference registration where a conference may run for 3 days, but you can purchase day passes separately or purchase a pass for the full 3 days.

Hello, Event Espresso 3 will meet some of your project requirements but not all of them as some custom coding would be required.

Does the system allow users to register with the site so that future registrations/event ticket purchases will be easier or does a person have to fill out their information every time they want to purchase an event ticket/register for a camp/workshop?

The WP user integration add-on for Event Espresso 3 will pre-fill an attendee’s contact information such as name, email, and address.

If so, how?

Filtering by multiple options is not currently available and would require custom coding to accomplish.

The calendar does not have built it holiday entries. However, an event could be created for each of those dates. Then the event description could be “Camp is closed,” or something similar.

Is it possible to implement a sibling discount (one parent paying for more than one child for a single event) or multiple registration discount (one parent signing up one or more children for more than one event)? Is it possible to do an early-bird discount? Can we offer discounts on a per event basis as well?

A sibling discount isn’t available but it may be possible to handle this by using the volume discount:

https://eventespresso.com/wiki/volume-discounts/

It works by checking for a certain threshold such as number of tickets purchased and then applying a discount.

Early bird pricing is supported and you can setup discounts on a per-event basis:

https://eventespresso.com/wiki/promotional-codes/

Is it possible to implement a handling fee or online processing fee that is either a percentage of the total price or a fixed price per registration?

Pricing / ticket options can have a flat surcharge or a percentage-based surcharge and this is set via the event editor.

This can be handled by using Event Espresso 3 + the Multiple event registration add-on. This will allow a shopping cart option. Then five pricing options could be created:

Day 1 Camp Pass
Day 2 Camp Pass
Day 3 Camp Pass
Day 4 Camp Pass
Full Camp Pass

Are there any other project requirements that come to mind?

Lorenzo,

Thank you for your response. You didn’t answer this part of one of my questions:

I tried canceling one of your demo events and nothing on the calendar indicated that the event was canceled. Furthermore, if an event was on multiple dates, the detailed listing showed only one of the dates and it wasn’t the event date that I selected. So if an event happens on more than one date and only one of the dates is canceled, is it possible to only update one of the dates as being canceled and not all the dates for one of the events? The reason for this is the same camp may take place the first Wednesday of every month. These are separate events for registration purposes, but they contain the same information so it would be redundant to create multiple events for this recurring camp.

As far as customizations for filtering by multiple options, would this be difficult to do for someone who knows how to program in PHP/MySQL? How much money would it cost to have Event Espresso do the customization for us? That’s kind of a deal breaker as the client’s current calendar already filters by multiple categories.

Hi, here is additional feedback:

I tried canceling one of your demo events and nothing on the calendar indicated that the event was canceled. Furthermore, if an event was on multiple dates, the detailed listing showed only one of the dates and it wasn’t the event date that I selected. So if an event happens on more than one date and only one of the dates is canceled, is it possible to only update one of the dates as being canceled and not all the dates for one of the events? The reason for this is the same camp may take place the first Wednesday of every month. These are separate events for registration purposes, but they contain the same information so it would be redundant to create multiple events for this recurring camp.

Event Espresso 3 does not support multiple dates per single event so each event would need to be created separately. The duplicate event feature could be used for this. If a date becomes canceled, then an event admin could login and change the status for this event to not active. This event will then show on the calendar as registration closed.

Unfortunately, I can’t provide a cost for the customizations as this would require more than a few lines of extra code. However, we do have Event Espresso professionals that can provide you an approximate cost for these customizations:

I thought that’s what the recurring events add-on was for.

Hi,

The recurring events add-on uses a new event as a template and creates additional events based on a schedule that is selected.
