Receiving multiple emails

I’ve created an event registration page and find that there are 3 emails being sent out to a registrant. I have created a custom Registration Approved template and that is the only email I want sent out.

The two extra emails that are sent have subject lines of “Event Payment Details” and “Your Event Registration Details”. How do I prevent these emails from being sent out?

Hi there,

You can disable specific messages by editing the template and setting the ‘To’ field to nothing, then saving that template. So for example with the Pending Payment email you go to Event Espresso -> Messages.

Then within the list select the context you want to edit for the Pending Payment message type (in this case there is only one that is active, the ‘Primary Registrant’) – http://take.ms/FClmH

Click to edit that context and remove to shortcode from the to field – http://take.ms/eBS6e

Then save the template.

The message with the subject ‘Your Event Registration Details’ is usually the registration approved message within the ‘Registrant’ context. But you mention you have a custom template for that template:

Have you selected that message template within the event or do you want this to apply to ALL events?

Thank you for your assistance. I was able to resolve the issue.

What is still confusing to me in for my custom template, only if I set choose Event Admin and set the TO: address to [PRIMARY_REGISTRANT_EMAIL] do I receive the email as expected.

If I choose primary registrant and set the TO: address to [PRIMARY_REGISTRANT_EMAIL] then I don’t receive any email.

Is this expected?

No that’s not expected.

Can you post a screenshot of each message context so I can take a look please?

Ok, lets start with the default setup and make sure that works.

Within the event admin context set the To field to: [EVENT_AUTHOR_FORMATTED_EMAIL] or (preferably) [EVENT_AUTHOR_EMAIL]

Within the Registrant context set the To field to: [RECIPIENT_EMAIL]

Set the Primary Registrant to nothing.

Now place a registration. The user account that is set as the event author should receive and email and the address used in the registration should also receive an email.

The setting you suggested work fine i.e.
Event Admin Context: To field to [EVENT_AUTHOR_EMAIL]
Registrant Context: To field to [RECIPIENT_EMAIL]
Primary Registrant Context: To field set to nothing

Thanks for your help Lorenzo. There are actually several things I have been trying to figure out for customizing the messages that get sent to registrants and have not found documentation on your website.

For example: The TICKET_LIST section has the following:

  • Dates/Times:</br>

      [DATETIME_LIST]
  • [TICKET_NAME]
  • This gives a listing on dates and times of the event. An example listing with 4 sessions is:

    • Dates/Times:
    o March 24, 2016 6:30 pm – March 24, 2016 9:00 pm
    o March 25, 2016 6:30 pm – March 25, 2016 9:00 pm
    o March 26, 2016 4:00 pm – March 26, 2016 8:00 pm
    o March 27, 2016 8:30 am – March 27, 2016 12:30 pm

    I would like to have the day of the week pre-pended to each of these lines so that when they receive the email they know which day of the week each session is on.

    Is there a way to do this?

    Several most customization questions but I’ll open separate tickets as I work through them.

    Currently the messages system does not have shortcodes available that will output the day of the event so to do that you would need to create a custom shortcode.

    If you are comfortable with PHP you can follow the examples I’ve given in previous posts:

    Another option is to add text to the Datetime description and use that within the list rather than the date/time values themselves. It depends on how you event list is setup if that will work as if your displaying the datetimes within the event list/single event page it may get confusing for your users.

    For the second option you mention, I already have the description values set to the day of the week. Is there a short code for this field that could be used?

    Yes, its [DTT_DESCRIPTION] – http://take.ms/hpi5a

    There’s also [DTT_NAME] but as the name suggests that’s for the name, just depends where you’ve put the details.

    Note that all of the available shortcodes for each section are shown then you click the icon on the right, you can search through the various shortcodes that way if needed.
