Importer add-on not allowing me to Approve and Notify to send out tickets.

Hello.
I am trying to import attendees and send tickets with QR codes to them. I have followed the instructions on this page. https://eventespresso.com/wiki/event-espresso-importer-add-on/

The problem I have run into is the “Then click on the Bulk Actions dropdown menu and select Approve and Notify.” step. I don’t see the Approve and Notify. In the link to the monosnap you can see the options I see. https://monosnap.com/file/PYVomjHe9fgeNixBgBvhQyQ7Z73Nji

WordPress Version: 5.9.3
PHP Version: 7.4.30
MySQL Version: 5.7.38
Event Espresso Version: 4.10.37.p

Hi there,

That feature isn’t linked to the registrations themselves, it is linked to the message types, but we can confirm this.

If you create a new test event (just another event in Event Espresso) and manually add a registration to it (be it on the front end or through the admin, just not using the importer), does the ‘notify’ option show there?

If you do to Event Espresso -> Messages -> Default Message Templates.

Can you see the ‘Registration Approved’ message type listed there?

Tony,
When I created a new event and from admin created a user there is an option to check to notify the user. https://monosnap.com/file/07WDoTfhsTuuaCTgQZX3PzbH0lKDHs

I do not have Registration Approved message listed in the Default Message Templates.

But that’s not the same option, I mean the bulk option you are trying to use on the ‘imported’ registrations.

I do not have Registration Approved message listed in the Default Message Templates.

This sounds like the issue, but confirm it with the above.

Check that event registration list and see if it lists ‘Approved and notify’ as a bulk option.

The bulk option drop down displays the same and doesn’t show Approve and Notify.

Ok, so yeah, that’s the issue.

Go to Event Espresso -> Messages -> Settings

I’m guessing your ‘Registration Approved’ message type is in the ‘Inactive Message Types’ metabox on the right?

If so drag it back over to the active section on the left.

If unsure, please add a screenshot of what you can there and I’ll advise further.

Send out tickets with QR codes

If your goal is to email scannable tickets with QR codes, then make sure that the Printable Tickets extension is activated and follow the steps below.

Go to Event Espresso → Messages → Settings and then turn off the Registration Approved message type by dragging and dropping it to the right column. This will make sure that an attendee only receives the Ticket Notice email notification which has access to their ticket.

Once I moved the Registration Approved back to the left column out of the right column then Approve and Notify Registrations option became available.

My question now then is. Do I have it turned off (right column) to import them and then turn it back on (left column) to notify them?

Ok, I see, that article needs a couple of changes with regards to this.

What are you looking to do with messages?

Do you want them to receive the Registration Approved message type?

That article needs some additional context and I’ll get it updated, what it is trying to do there is allow you to trigger ‘just’ the ‘Ticket notice’ email and not the ‘Registration Approved’ message at the same time.

However, it’s not really clear enough IMO and should also advise you on how to change it back. Also, rather than disabling EVERY registration approved message during your import, there is a way in which you can disable them specific for the current event you are importing with a little more admin work (a little additional work to create a ‘disabled’ Registration Approved message template at the beginning and then simply selecting that template on the event you are importing onto).

The purpose is to upload a registration csv from a vendor at the conference to provide a ticket that has a QR for us to scan for a luncheon that we are providing.

To get an accurate count as they arrived we wanted to scan said ticket. Ultimately we would be emailing them and they could either print or show on their phone.

After activating it (moving it to the left column) and choosing the Approve and Notify in the bulk dropdown I received the test email with a link to print/view the ticket. That is what we are wanting to do.

In this case I think it will work to import them and then publish the Registration Approval Message email with the ticket link by doing the bulk method. I would greatly appreciate the details on how to do it individually for separate events.

So you just need to trigger the Registration Approved email? As long as that email has a link to view the ticket that works for you, right?

If that’s the case you don’t need to disable the Registration Approved message type at all but you may want to disable the Ticket Notice as it will be triggered when the Registration Approved notification is.

Here is what I would do…. although I’ll happily add more details if you need something different.

If you want the ability to disable a specific message type per event, then you need to create a custom message template for that type specifically for that task.

So let’s say you don’t want the Ticket Notice email for this event but you do want it to send by default along with the Registration Approved email. What you do is go to Event Espresso -> Default Message Templates.

Find the ‘Ticket notice’ message type listed there and click the ‘Create Custom’ button.

That’s going to create a custom template for it and show you the page to edit that template, like this: https://monosnap.com/file/d5X5c0jhsHeykunzDdu5TBmNhDiOZk

Take note of how message types have multiple ‘contexts’ (Read more HERE) and that you’ll currently be editing the ‘Primary Registrant’ context, you can tell from the page header, more info in the link above.

Give the template a meaningful name and make sure the TO field is set to nothing for all contexts, I would also set the toggle switch to disable the message type, like this:

(If form validation kicks in on your browser for the TO field, just make sure the toggle switch is grey as that means the context is disabled. If that happens you’ll need to set the template name on the registrant context as is has a value for TO)

Switch to Registrant and make sure thats disabled (again more info in the context link above):

Now you have a ticket notice message type that is disabled, it doesn’t do anything.

Edit the event in question and go to the notification section and set the Ticket Notice message type to use that disabled message template:

Now when you trigger the Registration Approved message, the ticket notice email won’t send. However, you can include a ticket link within the Reg Approved email to cover both.

Event Espresso -> Messages -> Default Message Templates -> Registration Approved -> Edit Registrant.

Use something like:

Click <a href="[TXN_TICKETS_APPROVED_URL]">HERE</a> to view you ticket

Save that and now you have the ticket URL within the Registration Approved email set to all. You could create a custom Registration Approved template and include the link just on that custom template, then set it on the event like above (obviously don’t ‘disable’ that custom template) if you only want the link to be included on emails for that specific event but it depends what you need from above.
