EE4 How to send an e-mail to the attendants

I need to send an e-mail to all the people that haven’t paid yet the event, is it possible to write a custom text and send it “one time” for all?

Hi Riccardo,

How are you today?

With Event Espresso 4.1, you can do this three ways via: the payment reminder message, exporting a list via the check-in list, and/or creating a list manually.

Payment Reminder Message

You can use the “Payment Reminder” message template (http://www.screencast.com/t/Io3Dlqoycd) to configure the message you want delivered to the attendees who have not paid. Then you can trigger that payment reminder message to be sent by clicking the “Send Payment Reminder” button on the individual transaction record: http://www.screencast.com/t/fmW6v0pOZm

That will the primary attendee (first person in the registration record) a notice that they still need to pay for their registration (or whatever message you provide).

Exporting the Event Check-in List

You can export a list of attendees who have registered for your event and their registration status is either “Approved” or “Pending Payment”. Go to Registrations > Event Check-in > Filter for your specific event/datetime > Registrations CSV Report : http://www.screencast.com/t/nExzRjloc

That will allow you to collect the addresses of those who will be allowed to attend if they make a payment (even in person). You can then send an email to them directly or as a group using your favorite email program.

Creating a List Manually

The last option is to just find the contact information for each person who has not paid and build a list manually. Essentially copy and paste the contact information into your own list and send using your favorite email program.

i want to use the payment reminder: is there a way to click only one time to send the e-mail at all the contacts?
How can i set-up the reminder e-mail?

Hello,

The payment reminder template is enabled by default. If you do not see it in the messages screen, then you can enable it through Event Espresso –> Messages –> Settings.

For the reminder emails themselves, you would need to send these out individually (http://www.screencast.com/t/fmW6v0pOZm) unless you exported the information and then used an email service like MailChimp.

So,

1) I don’t like the standard reminder message: the information about what people has to do is’s not so clear i think… I tried to modify the messages but the email that arrives is different from the one i can find in the “messages” menu!

2) CSV export doesn’t work properly on my computer (Windows 8.1 + Office 2010), and it creates a file that is impossible to open in Mac OS X (with Office 2010). I tried to rename in xls format, but the content is unclear and it’s impossible to use it.

Furthermore how can i csv export only some creteria (like, only who has paid etc,). Of course if it is in the database, i will able to see with excel (that doesn’t work at the moment, as i said before).

Finally, i can only do it manually, but it is a really long work!
I understand that is a testing software (and we are also testing it, so we are using another stable software for the bigger database), but I would like to use it ASAP!

Hi Riccardo,

Regarding issue 1, the templates often have multiple context’s in which they can be used (Admin and Registrant for example) I posted in your other thread explain this a little more:

Did that help or is this still not clear?

2) Is is possible for you to send us a copy of the exported file please? I’d like to take a look and see if I can see why it will not open.

If so could you send to support@eventespresso.com with a reference to this thread so we know what it is intended for.

Just to confirm are you using the latest version of Event Espresso 4? (Currently 4.1.12)
