I will be honest, I have yet try to test Espresso. Reason is, I’ve tried to many only to find out it can not do what I need. So I figure this time to ask first before trying it.

I am going to be providing 2 separate classes on the same day at different times.
If a person signs up for only 1 of the classes, it will be a set price. If they choose to sign up for both, then I’d like to have a special discounted price.
Can this plug-in do this without throwing off the number of capacity for the class?

There was one other plug-in that claimed it could do this, but it was not user friendly for someone who is not an expert like myself.

Thanks.

Hi Lliana,

Yes this can be achieved with Event Espresso.

With EE4 you create ‘Datetimes’ within an event, you can consider these ‘instances’ of the event.

Then you create tickets that your user registers with, these can apply to single or multiple datetimes.

So lets say you have a main event, with 2 rooms. Room A has a capacity of 20 and Room B a capacity of 30.

You can have a ticket for Room A (which only applies to Room A)
A ticket for Room B (which only applies to Room B)
And a ticket for both (which applies to both Rooms)

Each ticket can have a difference price (so you can have the special price for both) and when one room is full the tickets that are assigned to that Room will both sell out, leaving only tickets for the other room.

Does that all make sense?

The best way to see this is to try it by Test Driving Event Espresso 4, this sets up a site you can try the full version of EE4.

Here is a quick example of the setup:

Datetimes & Tickets – http://take.ms/klvAY
Room A Datetime showing the assigned tickets – http://take.ms/GDfC3
Room B Datetime showing Assign tickets – http://take.ms/cXcuo

Front end view (when selecting the event tickets) – http://take.ms/y36MJ

Notice the use can register onto either day individually by selecting one of either of the room ticks, or both at the same time selecting the Both Rooms ticket. They can also purchase 1 of each room is they wish to pay full price for both for because your events is awesome πŸ˜‰

Please just let us know if you have further questions.

Thank you for replying. I will test it when I get home.

So if each room the capacity of student allowed is 10 and someone decides to purchase both classes, will it take the spot for each class? Hope I’m making sense. I just want to make sure I can control how many people can register for the events.

Yes, it will take a spot from each of the datetimes.

You can set limits on the datetimes and tickets, so you want a limit of 10 on each datetimes.

Then if a user purchases a Room A ticket, 9 spaces are left in Room A, 10 in Room B.

Then if a user purchases a ticket that applies to both Room A and B, you’ll have 8 spaces in Room A and 9 in Room B.

That make sense?

That’s exactly what I need.

I look forward to testing this out when I get home. Thank you for answering all my questions.

Tony,
I tried installing that plug in so that I can mess around with it and got the following error:

We’re sorry, but Event Espresso requires PHP version 5.3.0 or greater in order to operate. You are currently running version 5.2.17.
In order to update your version of PHP, you will need to contact your current hosting provider.

Ok..problem solved. Sorry for the posts. Going to play with the plug in and will be in touch.

I’m sorry for all the posts. I’m not sure I’m setting it up correctly.
I’m also getting a few bugs pop up. One saying that “You do not have sufficient permissions to access this page” and another saying I’m not allowed edit this page. If I go back and try to access the section again, it then works.

I created two of the events, but not sure how to add the option of purchasing both events for a cheaper price.

I don’t think I’m doing it right. I created the other class, but it won’t show up.
Hoping you can help me, because if this could do what we need, I will definitely pay for the premium features.

Thanks.
ILIANA

Hi Iliana,

Event Espresso 4 requires a current version of PHP to work and your web host should be able to set your web server to use a current version.

Purchasing a ticket option from Event ABC will not update the availability for Event XYZ.

There is a feature in the regular version of Event Espresso 4 called multiple tickets and datetimes.

This would let you create a date times or date times and then assign multiple ticket options to them. Here is an example:

http://ee-screenshots.s3.amazonaws.com/multiple_tickets_per_datetime.gif

So for example, lets say that the event had a total of 50 spots.

You could create then create multiple tickets and assign them to that datetime. Once the registrations reach 50, then no additional registrations would be allowed.

Does this sound like it could be helpful for your project?

Lorenzo,
In our case, there’s 2 different events in one particular day.

A class from 9am to 12pm and another class from 1pm to 4pm.
Each class will have a separate cost, but if a person chooses to go two both classes, then it will have a special price. Each class will only have 20 spots available.

So I want to make sure that if someone purchases both events to get a discounted it price, that the ticket will be discounted appropriately. Some people may choose to only purchase one of the classes and not both.

Hi Iliana,

Thanks for clarifying. That type of discount is not currently available.

If the pricing options were the same, then you could offer a ticket option that is a bundled ticket with an automatic savings.

I’m confused because Tony seemed to think this could be done.

Morning class would be $149
Afternoon class would be $149
If attending both, then $199

So then this plug-in couldn’t do this?

Hi, you mentioned that they were different events so I interpreted that as purchasing from one event should affect the availability of another.

It is possible to create a single event in the regular version of Event Espresso 4 just as you described.

However, the registrant would need to register for that pricing option under a single event.

That is, they could not register for event ABC (example.com/event/event-abc/) and event XYZ (example.com/event/event-xyz/) at the same time and receive the discount. It would need to be an existing ticket (pricing option) under a single event.

Lorenzo

I “think” I get what you are saying.
I would want them to register for each event that’s held the same day,
but is there a way that I can give the option to have one ticket to purchase for both events?

Basically option 1 ticket is for the morning class for $149.
Option 2 ticket is the afternoon class for the same price.

Is there a way of having an option 3 ticket which combines both classes for then a special price?

See when Tony was trying to help answer my questions, he had it set up as Room A and Room B to make it work so that I can provide a special if they purchased both. So now I’m so confused. LOL

Hi Lliana,

The reason its not working is your using Event Espresso Decaf.

Decaf doesn’t have the multiple datetime feature that is needed for this setup, so you need to test Event Espresso Regular.

You can do this using our demo site.

Sign up to Test Drive Event Espresso 4 and you’ll be given access to your own site on our server for you to test the full version of the plugin without having to purchase a license first.

Within that you want a SINGLE event, with 2 datetimes (one for each room) and 3 tickets, 1 for each room and a combined ticket. If you link your demo site I can log in and setup and Event so you can see how it would work.

Take a look at the Multi Room Demo event – http://demoee.org/handsonhealing/events/multi-room-demo/

Place a couple of registrations and you’ll start to see how it works.

If you edit the event, in the ticket editor you’ll find this – http://take.ms/bLKgb

Notice the cog for each datetime? Click that.

Now you see what ticket applies to that datetime – http://take.ms/A9d5a
Sales from Room A ticket and Both Rooms Ticket apply to this datetime.

Does that make sense?

(Theres a little more involved with how the registration work but I just want to make sure that so far it all make sense?)

Iliana

July 29, 2015 at 1:16 pm

Ok I see how it works. Now is there a way for me how many total tickets are still available for each room?

Tony

  • Support Staff

July 29, 2015 at 1:24 pm

Yes there is.

Currently the ticket editor shows this – http://take.ms/N7O7c

because your tickets are paid, and you haven’t paid yet, your registrations are ‘Pending Payment’….

Pending Payment registrations don’t apply to the event sold values, only Approved registrations do. Normally when a registrant pays for the tickets the status will automatically change.

If you go to Event Espresso -> Registrations. You’ll see your 2 registrations.

I’ve manually approved those registrations to show what would happen, I just selected the registrations and set the Bulk action to approve registrations, then apply – http://take.ms/ijjRB

Now if we look at the events ticket editor again we can see the registration apply to the Datetime sold values – http://take.ms/kWdeW

Is that what you are looking for?

Iliana

July 29, 2015 at 1:30 pm

So once it reaches the amount available (20) registration will close for this event?

Which Licensing do you recommend for us?

Iliana

July 29, 2015 at 1:32 pm

Also how difficult would it be to recreate this? We will providing classes every second Saturday of the month giving them the same exact options.

Tony

July 29, 2015 at 1:34 pm

So once it reaches the amount available (20) registration will close for this event?

Each datetime will close as it reaches 20 yes.

You could sell Room A first so then the ‘Room A ticket’ and also the ‘Both Rooms Ticket’ would close off, leaving on Room B ticket, until the Limit for that datetime is also reached. Then the event shows as sold out.

Iliana

July 29, 2015 at 1:39 pm

That’s exactly what we need. So which license would you recommend knowing the purpose we’d be using it for.

I’m assuming the actual registration form is customizable? It allows to use Paypal for payment to process?

I will be playing with the demo a bit more.

Thank you so much Tony for all your help. πŸ™‚

They all include access to the EE4 core plugin so really it depends if you need the Add-ons.

The core plugin will allow you to customize the form and use PayPal (either Standard or Pro) for payments.

The EE4 Personal License includes only the core plugin, if you need the Calendar or any other Add-ons they need to be purchase separately.

If you have no need for the Add-ons (or only require the Calendar) use the Personal License and purchase the add-ons you need separately. If you need more Add-ons its better to use the EE4 Everything License.

Iliana

July 29, 2015 at 2:16 pm

Tony I just need it to do what you just accomplished on the demo. Don’t really need the calendar. So will the single license be sufficient?

Hi Lliana,

The personal support license for Event Espresso 4 (https://eventespresso.com/product/ee4-license-personal/) will provide you with the core plugin which could be used to create the example event here:

http://demoee.org/handsonhealing/events/multi-room-demo/

The Events Calendar add-on and other add-ons are not required to use Event Espresso 4.

Sorry about the confusion earlier.

July 29, 2015 at 5:44 pm

Lorenzo,

Thank you for the clarification. I think the personal license is what we need and if we grow further with our courses, then we could always add on to it.

Thank you and I’m real excited to get this! πŸ™‚

Iliana

July 29, 2015 at 7:15 pm

One more question… I’ve purchased the personal license, but noticed something.
Under the events it says the following:
“*Please note that a maximum number of 10 tickets can be purchased for this event per order.”

I want each student to only be able to by 1 at one time. The capacity for this class is 10. So is there anyway from preventing one registrant from purchasing more than 1?

Tony

  • Support Staff

July 30, 2015 at 3:49 am

There’s a couple of ways to limit the total tickets the registrant can purchase.

That message is tied to the ‘Maximum number of tickets allowed per order for this event:’ setting – http://take.ms/cHYKU

If you set that to 1 then your registrants can only select one of those 3 tickets (which may or may not work for you) it changes the ticket select to use radio buttons – http://take.ms/8Mjl3

OR

You can set a limit per ticket, click the cog to edit the ticket settings, then set the Max Quntity for the ticket to 1 – http://take.ms/FjHJa

Do that for each ticket and it will force the dropdown for each ticket to show only 1 – http://take.ms/SnnXh

Iliana

July 30, 2015 at 4:38 pm

Tony if I do this, can I still limit the amount of total tickets available? There’s only 10 spots for the class.

Hello again, you can handle this by setting a limit of 10 for the date time.

This means that once any combination of 10 tickets are sold then no other ticket sales would be allowed.

Here is an example:

I first want to thank you for the great customer support you all provide. Truly satisfied customer! πŸ™‚

I have 2 questions. I already set up our classes and I think everything is set appropriately. When a user signs up for a course, when during the registration do the enter the registration form that includes the address? When I tried testing it and clicked on the “Register Now” button, it only shows the following:

First Name*
Last Name*
Email Address*
Phone Number*
LMT License No.*

Also, where can I see how many tickets are still available for each course?

Thanks so much for your help!

Thank you for the feedback, it is much appreciated πŸ™‚

To request address info, edit the event and scroll down.

On the right you’ll find checkboxes to select which question groups will be requested – http://take.ms/1CBvc

For the ;primary registrant’ make sure ‘Address Information’ has a checkmark and then update the event. Now test a registration and check the address info is requested.
