Attendee Management using Multiple Date Times & Tickets

Currently we have been creating a brand new event for every single new date of a workshop/course. But I am experimenting with using multiple date times and tickets to streamline this process.

However, I am stumped at how to handle attendee management when using this option. We need to send reminders before each event and the registrations cannot be separated by date/ticket so this would quickly become unmanageable. We manage over a dozen dates for any workshop/course at any time and there are over 30 different workshop/course options.

Have a I missed something?

Hi there,

How did you setup the datetimes/ticket in the event?

From the sounds of it, you’d need a single datetime for each individual date and then a ticket for that specific datetime.

If I’m reading the above, a single date has 30 different options?

If that’s the case then multiple datetimes within a single event are not going to work for you, as you’d need 30 options per datetime, meaning your event would have over 300 tickets.

Do you have an example of a single event I can view on your site?

And if you have an event setup with multiple datetimes that you are testing, can you also link me to that?

Here’s the event I have set up to testing using a single event with multiple date times. I have created a new ticket for each date time: https://www.thegoodlifecentre.co.uk/events/freehand-machine-embroidery-14/

Every single other event on our site is currently set up as a single event with single date time. And that is what I am hoping to now change. Here’s an example: https://www.thegoodlifecentre.co.uk/events/make-a-lined-curtain-12/

But we need to be able to send reminders to attendees a few days in advance of each event/date time and there doesn’t seem to be a very simple way to do that if we have multiple date times per event, which seems like an oversight or I have missed something?

You can filter the registrations down to a specific datetime and send reminders from there.

If you edit the event and look at the datetime list you’ll see a ‘people’ icon for each datetime – http://take.ms/hDCki

Clicking that icon lists the registrations that apply to that specific datetime.

For example I have a single registration on each of those datetimes, so if I click on any of those icons I see 2 registrations, 1 for the ticket specific to that datetime and 1 for a ticket that applies to all.

My registrations are pending payment, but you can use the status filter to only show approved registrations, then bulk select the registrations and trigger messages from that section.

Perfect. Yes, that was the missing link for me. Thanks!

I am so used to working with the main EE menu, that I didn’t think to take the extra step of going back into the event to find the attendees.

On a similar note, will the automated attendee reminder emails plugin be up and running again soon? That is the final part of the jigsaw for us to manage reminders.

One other question related to the single event/multiple date/ticket options… it doesn’t seem to function with the attendee mover plugin.

Is that correct? Or could it be a bug on mine?

I can’t say it will be available ‘soon’ as we are working on another area of the plugin currently so it depends on how long that functionality takes, however, we are aware that there are multiple users waiting on this feature.

It should work fine, what problem are you running into?

Which version of the attendee mover are you using?

OK, but that’s a shame because it takes a huge manual step out of attendee management so quite a critical tool.

Figured out the attendee mover… I select the date via the ticket selector in the next step. So all good.

Agreed, it’s definitely something we want to get released.
