Approved Registration but Incomplete Transaction when payment has been made

I was reviewing registrations for an upcoming event and noticed that several participants were indicated as “Approved” but “Incomplete”. I reviewed PayPal and noticed that they actually paid.

In addition, I noticed a participant received a refund in PayPal, but her registration was still marked as Approved / Complete.

We are set up for PayPal but don’t see where I can enter an IPN – I assume that is the missing link?

We are using Version 4.8.4.p, WordPress 4.3

Hi Carol,

There’s a setting in your PayPal account where you enable the Instant Payment Notification under Selling Preferences. You can input any URL that points to your website and Event Espresso will take care of the rest. Please note that refunds are not automatically updated in Event Espresso by the IPN. So when you do a refund via PayPal, you’ll need to manually update the transaction in the Event Espresso admin.

Hi Carol, could you update to the current release of Event Espresso 4?

Refunds are currently a two part process. First, refund via PayPal, then apply a refund through Event Espresso –> Transactions. Then click on their transaction and then click on the refund button. Enter the refund amount along with any other details and then scroll down and click on the apply refund button.

This will update the registration status to cancelled since that is the default registration status when a refund is processed: http://cl.ly/image/160G371D1i00

I have updated EE
the issue is, the PayPal account is not mine, so I am not aware a refund has been issued. It would be very helpful to have that happen automatically…
the other issue is this status of Approved but Incomplete – if the IPN is set correctly, why isn’t this changing the status to Complete?

Hi Carol,

The refunds do not automatically update at this time. On your second question, if the IPN is delayed or can’t reach your site, then it may be possible to resend the IPN for this purchase. Once that is done, then the registration should update to Approved.

Another option is to add a payment manually and then note that is was done via PayPal and then at the bottom of the form set it to update the registration status to Approved.

Hi Carol,

Can you check to see if you have the WP Spamshield plugin active? The reason I ask is because it had a recent update that adds a feature that blocks the PayPal Instant Payment Notification. I’ve contacted them to let them know, but in the meantime if you have the plugin active you can disable it for now to allow the PayPal IPN to make it to your site.

And as I mentioned before, it isn’t my PP account, so I don’t know when payments have been made. I don’t think I should have to manually update the status

Hi Carol,

Normally Event Espresso will receive an Instant Payment Notification from PayPal and it will automatically update the status. Since you mentioned that it’s not your PayPal account, can you check with the account holder and ask them to verify that the Instant Payment Notification feature in their account is enabled?

If you go to Event Espresso > Payment Settings and click the logs tab, then you click on the transaction log items, are there log items that come from PayPal.com? If not, then something may be blocking the communication from PayPal.com to your website. We have a list of troubleshooting steps you can follow here:

Hi Josh – yes, in fact they are all from PayPal. So, there IS communication. I haven’t seen any more “Approved” “Incomplete” registrations yet; my assumption is those are from people who don’t pay at the time of registration, but rather at a later time from a link on their confirmation letter.

Hi Carol,

Thanks for updating us on this issue. Here is some background information on the different statuses (e.g. registration statuses and transaction statuses):

If a registrant starts a registration by clicking on the register now button and then completes registration including any applicable payments, then they would have a registration status of approved and a transaction status of complete.

If a registrant starts a registration by clicking on the register now button but then changes their mind, then this will be incomplete because no contact information has been recorded yet with a transaction status of failed.

If a registrant starts a registration by clicking on the register now button and then enters their contact information but does not pay, then this would have a registration status of pending payment with a transaction status of abandoned.

One thing about that last scenario above is that these will not count again remaining spots for a course/class since they have not paid.

Thank Lorenzo – however, the 3rd option you mentioned above happens frequently for our events. So, in this scenario, if they come back and pay – is that when the status changes from Approved / Incomplete?

It depends partly on what’s set in the event options for the Default Registration Status. Do you have that set to Pending Payment or Approved?
