Hi,

We run, for 4 weekends per year, Santa’s Grotto & reindeer visits at our Christmas tree farm Smart Trees in the middle of England . Based on our increasing popularity this year, I am looking at an online booking system for next year.

Event Espresso looks like it will do most of what we need. However we have some specific ticketing needs that I would like to check capabilities against.

The operation works on 24 x 15 minute time slots during the days we open. Each slot can take up to 15 children to visit Santa. Apart from having lots of events on the same day, and some way of displaying/selecting them, this I presume is probably simple.

However, once a family have selected available children tickets (£7.00) in their desired time slot, they then need to be able to book non-children tickets: up to 2 parent tickets (free) and up to 4 ‘others’ tickets (£2.00). This is the area that I think maybe a challenge for the system – several different types of ticket, but only one type is limited per time slot.

All ticket types chosen will need to be associated together as one family booking, and grouped together on a single family ticket notification.

Based upon dealing with the public this year, I can think of one more complexity. That is that a family may want to add more ‘others’ to their booking at a later time.

One final question. Would it be possible (via a non-public login?) to use the same system to issue tickets onsite, for those that just turn up on the day, but not go via online payment?

Many thanks.

Hi Richard,

This is definitely an interesting usage.

Time slots: Can be done two ways. One by having 24 events. Two, by using the time slot feature in a single event. We even have a feature (experimental) that so long as not used with group bookings it can limit the availability of each time slot, making a single event even more viable.

The tricky part is the pricing and ticket.

One way to do it would be to use our Price Modifier add on. This allows you to set questions that can change the ticket price.

These questions/answers can also be shown on the ticket.

What this means is you would get a single ticket (so can only be scanned once) but would have the additional information available on it.

There may well be other ways to achieve this, but I think that this is probably the easiest way within our plugin.

Example event http://d.pr/i/lmeA

Example ticket http://d.pr/i/xavF (note I have modified the ticket template to allow the extra questions, and not made it pretty at all).

Regarding the late bookers, it may be simplest to have an additional ticket for those, though you wouldnt be able to link them together. Either that or modify their ticket and get them to pay.

“One final question. Would it be possible (via a non-public login?) to use the same system to issue tickets onsite, for those that just turn up on the day, but not go via online payment?”

Yes but you would still need an internet connection as everything is done online. You could manually add them into the system via the admin (cash payments) or use the front end process to take an online payment (if needed).

Let me know if you need clarification or have any other questions.
