Custom Messages and adding event details

Hello
I have set up a custom message template which I plan to send out to 5 different events that i have people registered for – is there anyway to add the date and time and location of the event to the message template please? do i need to create a new message template for each event also?

Hi Sue,

I’m assuming this is the ‘Newsletter’ message type?

Currently you can not use Event specific details (shortcodes) within the newsletter mesage type, so you would need to create individual message templates for each event and then hardcode the details within the template.

For the above you will need to be on the latest version of Event Espresso.

There was a limitation that only allowed roughly 40 newsletter messages to be triggered at once, we fixed this within version 4.9.16 so make sure you have updated before attempting to send a large batch of newsletter messages.

ok I tried this but i dont think its going to work for what i want to do….I am viewing an event and looking at the registrations – I want to be able to select all people and then select send batch message – but seems this only works with newsletter format where i cant have the event details and date and time?

Yes, the batch emails use the newsletter message.

You will need to create a custom newsletter template that has the details you want for that specific even hardcoded within the template itself, you can use shortcodes for the recipient such as name, email etc but you will need to hardcode the event specific details into the template and select that template for those registrations.

thanks Tony is there any detailed information on how to do this please?

i have set up an email template which has all the info i need but is there no way to email this to all registered for 1 event?

Hi Sue,

Not currently, but I can guide you through.

So you have the custom Newsletter message template, with all of the details you want to send to each registrant for a specific event yes? (If not let me know)

When you created that custom template, did you give the template a meaningful name? The reason I ask is when sending the message you need to select the template from a dropdown, its much easier with a meaningful name.

If not got to Event Espresso -> Messages -> Custom messages Templates.

Find the custom newsletter template you just created and edit it.

Here is an example of a poorly name custom template on my site – http://take.ms/Eu20S

Edit the template and change the name so its easier to find – http://take.ms/4TrbO

Now that’s done you need to view the registrations for that event.

Go to Event Espresso -> Events.

Find the event you want to send the message for and click to view the registration, either of these two links will take you there – http://take.ms/Su7I4

Now you’ll see a list fo registrations for that event, but by default you will only see 10 per page. You can change this within the ‘Screen options’ at the top of the page – http://take.ms/Fu8QK

Now you’ll see a longer list of registrations.

You click the checkbox next to each registration that you want to send the message to. At the bottom of the list you will see a ‘Send Batch message to’ button – http://take.ms/F8k6q

With the registrations selected, click that button. Now you select your custom newsletter template – http://take.ms/ISkxs

(This is why you renamed the template to something meaningful earlier)

Once you select the newsletter you can select make any edits if needed and then click Send – http://take.ms/LBPDI

EE will send the select newsletter message to all of the select Registrations.

Is that what you are looking for?

Thanks Lorenzo but when i goto batch email option the name i gave the message type registration approved (name AllExcBeg) is not visible

You can only use the newsletter message type for batch emails, that’s why it’s not showing up in the dropdown.

You need to create a custom newsletter template with the details you want to send, then follow the above steps.

Hi Tony the problem is when i create a custom newsletter there is no option to add for example
[event_list]
[event_link]
[venue_title]
etc

Yes, as mentioned above you can not use ‘Event Specific’ shortcodes within the newsletter.

So you would need to build out the template to include ALL of the details you needed for a specific event and then send the newsletter out for that specific event.

or batch messages you can not use any other message type other than newsletter.

thanks – what you suggested above is how I have been doing this in the past…..so i send out the same info to 15 different events but i have to copy and paste in each one the class and date and time and location……this information can easily be added to an email template so I was hoping there was an easy way to add this to the newsletter template which is used to send batch message….just time consuming doing it this way and also subject to errors…

Hi Sue,

The batch email (newsletter) option does not currently support event-specific information but this is on our product roadmap.

If you have an existing custom template, then you can create a copy by using the create custom button which looks like this (https://cl.ly/3w0j0m3y272V). Afterwards, then you can assign to an event as needed through the event editor and save changes.
