Changing event details, keeping participants and changing their invoice amount

Hi, we have many events running and are looking to find an easy solution to re-book participants. We can set up new events and people can register for courses. However, this is long winded and we want to be able to change the event details i.e. start and end date / price (easy to do) then we want to keep the participants booked onto the event, but change all of their payment details so that they owe for the new event then send them an invoice. We are finding that we can’t simply change the amount paid to date to zero and then send an invoice with new amount as it keeps the payment details from the previous event – any ideas? thanks

Hi Nick,

Currently I can’t think of many ways to do this that will not require coding or a lot of manual work.

The “easiest” way is to do an SQL query on the database, that way you can duplicate and modify mass numbers of attendees and the event in one go if the query is written correctly. This does run the risk of damaging your sites database if the query is wrong though.

Other than that you could duplicate the event and edit the details (time/price etc), then you can use the beta plugin Attendee Move/clone tool, to clone the attendees over to the new event. They will be given the first ticket type, but they will retain their status (complete/incomplete etc) so that would need to be amended manually.

Alternatively, you could set up the new event (via duplicate or manually create a new one) and export the attendees from the old event and amend the CSV to reflect the new data and import that list of attendees via CSV.

Hi Dean, thanks for the workarounds. I think that the last solution is best where we duplicate an event then import attendees by CSV. I have had a search around in forums and in espresso and can’t see the import attendee by csv option – any chance you could highlight that for me. thanks, Nick
