Automated emails – Best Way to Get Event Date to mailing list

Hi,

I’m trying to get pre-event email automation communication set-up on our email marketing platform. I have set up the Event Espresso Automated Event Reminder add-on, which will be helpful generally, but this query does not relate to that add-on as our needs for this particular query are a bit more complex.

We have a flow of communication to stay in touch with people from the point where they book a free trial (anything from 6 months to 1 day before the trial) up to the date of that trial. We have dozens of free trials in different locations on different dates within a 6 week period several times each year. Each free trial is a separate event on Event Espresso. We currently run the pre-trial email communication manually, but it would be completely appropriate for this to become automated and it’s long overdue.

We currently use mailchimp, with the Event Espresso Mailchimp Integration, although considering switching to Sendinblue using WPFusion.

So currently a customer can book a free trial and the integration takes their details directly to Mailchimp. However in order to have an email automation flow linked to the date of one of our free trials we need Mailchimp (or equivalent alternative) to know the free trial date that the customer has chosen, automatically.

What’s the best way for this to happen? I was thinking that we need a question with the event date pre-filled and hidden on the Registration Form. If this is the correct method could you give me some guidance on how to achieve this? Or if you have a better solution would you be able to let me know?

Hi Brooke,

With MailChimp you don’t need an additional question for this on EE, you need an additional ‘Merge var’ (MailChimp now call them ‘Audience fields and *|MERGE|* tags’) on your List/Audience that you pass over during the subscribe call.

I’ve actually created a snippet to do just that previously:

You can add that to a custom functions plugin on your site, we have some documentation on creating one here:

You will need an ‘EVENTDATE’ merge var on your list for EE to pass the value over to, I’m assuming you know how to do that already but I can provide more details if not?
