Unpaid bookings Appearing as Approved

Hello, we are experiencing problems with EE4 where unpaid bookings are displayed as approved when people arrive at the venue. This is causing major losses to the business. Is there a way to only show bookings as approved when payment is confirmed?

Hi there,

Your events currently have their ‘Default Registration Status’ set to ‘Approved’, which essentially tells Event Espresso:

“Regardless of the user’s payment status, set all registrations to Approved when they finalize the registration”

For your set up you want that setting set to ‘Pending Payment’ (which is what EE sets this up as by default as it’s the most common use case) and within EE there are 2 places it needs to be set.

First the ‘default’ value used for that option on all new events.

Event Espresso -> Events -> Default Settings (tab on the top of the list)

Set the ‘Default Registration Status’ option to ‘Pending Payment’ and save.

That sets Event Espresso to use ‘Pending Payment’ for any events you create from now on but as that setting is event-specific it is actually saved with each individual event.

So now you need to edit each individual event that you already have active in EE and set the event-specific setting to Pending Payment.

Event Espresso -> Events -> {event}

In the ‘Event Registration Options’ meta box you’ll see the Default Registration Status setting, shown at the bottom of this screenshot:

That’s the setting for the event you just edited, change that to Pending Payment and save then repeat for all your current events.

Now anyone that register but doesn’t complete payment, will be marked Pending Payment.

Anyone that registers and does complete payment, will be switched to Approved.

If you have registrations that are now unpaid but have already been marked Approved you can manually switch the status to Pending Payment if needed, I can add some details on how if that’ll help?

Do you mean the reserve count? (Rsrd)

If so, they should sit in reserve for slightly longer than the duration of the registrant’s session, which by default is 1 hour.

You have a couple of options on how to change the status depending on how many registrations you need to update.

To bulk edit, you can use Event Espresso -> Registrations.

Find the registrations that have a Reg Status of ‘Approved’ with a TXN status of ‘Incomplete’ (or anything other than ‘Complete’ really). Like this:

Click the checkbox next to them and then at the top in the bulk actions dropdown select ‘Set Registrations to Pending Payment’ and click Apply.

(Note if you want to trigger a ‘Pending Payment’ email for each of the select registrations select the ‘and notify’ option, so ‘Set Registrations to Pending Payment and Notify’ before clicking apply)

You can do that per event in Event Espresso -> Events -> {hover over event} -> Registrations.

So after an hour the spot becomes available for other registrations?

Only if you are referring to the reserved count, not the ones that have been marked ‘Approved’ already.

To explain, there is a reservation system in EE4 to prevent overselling, when you select a ticket on the ticket selector and submit it, the ticket is placed in reserve for roughly 1 hour. If your registration has not been marked Approved by then, it will be released again back for sale.

If you are asking about the registrations that have now been marked ‘Approved’ even without a complete payment, they those spaces will only be released when you manually change the status to Pending Payment as above. That will happen instantly when you set the status.

Approved registrations count towards your sold values, Pending Payment registration do not (with the exception of when the pending payment registration is in reserve).
