Hi, We are a horse racing track which sells dining packages. We can have up to 500 people in one room and can have 8 rooms running at once. The way we have set up Event Espresso is that each room is a separate event. We currently mail out tickets to people after they have paid which are cardboard tickets with the date on it. As you can imagine its not very efficient and very ‘old school’. We do have a lot of people who forget their tickets at the moment and we simply ask for the party name and let them in, its not an issue as we have the right amount of seats in the room so will know if someone came in without booking.

I would like to move onto online ticketing but foresee the below issues I would like solutions to:
1 – If someone forgets there ticket and gives the correct party name at the door how do we check them in? What I’m worried about is if we check them in against a ticket and then the person who had this ticket turns up then the system wont scan them in.
2- How do you stop people sending the same ticket to multiple people which would result in the above issue if when scanning them in.
3- We have allocated table numbers, is there anyway to add this to the ticket before it is sent out?

Hi there,

How will you be checking them in at the event?

Using the mobile apps or logging into the admin?

2- How do you stop people sending the same ticket to multiple people which would result in the above issue if when scanning them in.

You can’t, but tickets check against the registration when scanned, if someone passes the ticket around it will only allow X amount of check-ins (depending on the setup), once that is reached the ticket can not be checked in, meaning the additional tickets won’t work. So either the 10 users that paid for the tickets will be able to check in, or 10 ‘copies’ can check in and the originals can not, so either it’s at the users own loss to share their ticket.

3- We have allocated table numbers, is there anyway to add this to the ticket before it is sent out?

You can use a custom admin question for this and then manually apply the table numbers within each registration. The answer to that question can then be shown on the tickets.

With custom development, you could also automate the numbers but note that’s not included with EE currently and would require custom development from a developer. It wouldn’t be too complicated for a developer to do, I just want to be clear that it isn’t a part of EE at this time.

Thanks Tony for replying, Please see below:

1- We ere planning on using the app on individual devices, we could have up to 15 devices working on the same night

2- Just so i’m clear Example: If Jim buys 8 tickets and then sends the tickets (1 to 8) to 8 different email addresses/people. What happens however is Jim accidentally sends ticket 6 to Bob, Jenny and Wayne (Jenny was meant to get ticket 7 and Wayne ticket 8).

On the night Wayne comes to the door first with his ticket and it is scanned in with no problem. Then 10 minutes latter Bob turns up and his ticket is scanned….what happens at this point? I assume is says that his ticket has been scanned in already? OR is there a way to just take that persons ticket count off the total amount and once it reaches 8 it will say its full?

Am I not correct that when someone pays they get the ticket sent to them straight away so if we wouldn’t have the chance to put the table number on there OR can we release tickets at the latter date?

Just to add to the above. I tried scanning the same ticket which would be the same as the example I have put above on the ‘check in only’ mode and it comes up with the error ‘Registration is denied’ message and I cant see any option to change this?

That’s correct, it will show as already checked in.

Registrations have a 1 to 1 relationship with tickets, 8 tickets = 8 registrations. Each ticket scans for a single registration in a group so you can’t scan a ticket multiple times and just take the value from the group total by default.

However in the situation you mention above what you can do is click the details button at the top and view all of the registrations within the group, from there you can check-in any of the tickets – http://take.ms/516I2

There isn’t an option to change the check-in only mode, however you can switch modes and use lookup if preferred.

You mean directly on Facebook itself rather than linking to the event for the user to click through?

If so then no, we don’t currently have that kind of integration.
