Registrant Default Details Not Appearing in Emails to Admin

I’m on EE4.4.8 and have noticed that, since upgrading from EE3 to EE4, the answers to the default questions are not being emailed to me (the admin). The questions I’ve added appear in the post-registration emails, but not the essentials, like their first and last name, and their email address.

In the list of questions, I see that everything I want is checked, and that the default questions checkmarks are all in gray, indicating that they are default and cannot be changed. So what else do I need to do to get all of the answers I need sent to me?

What Messages, and message contexts do you have for the admin, and can you give us the shortcodes you are using?

The question and answer shortcodes should provide the answers to custom questions, similar to how you had it set up in EE3.

Hi, Garth. Nice to hear from you.

The message in question is the “Registration Approved” one to me, the “Event Administrator.” As I didn’t set up the emails in EE3, I don’t know how it was set up back then. So let me tell you how it’s set up now in EE4, and then maybe you can tell me how to change it, to reflect how it used to be?

Under Event List, I have:

Does that help in solving the mystery? What code do I have to enter, and where, to get it back to the system automatically sending me what I have listed in EE3 above?

Hi,

The custom registration questions should already be appearing as part of [QUESTION_LIST]

Are you seeing any of the custom questions or answers in the emails that you are receiving as the event admin (event author)?

Looking at your shortcodes, it should have this information:

First name Last Name

Registration code


Ticket that selected during registration

custom questions: custom answers

    Hi, the email system in Event Espresso 3 is different than the messages system in Event Espresso 4.

    You will not be able to get an exact match for the order.

    I need to know the information that you are currently seeing. Please copy and paste an example from an email here and remove any personal information and we’ll go from there.

    Right, I think I see what you’re asking. I sent you the before picture, but you wanted the after picture. Yet, I think it’s good to see both, for comparison’s sake.

    What you’ll see below is that the registrant’s email address is missing altogether. And, although the first and last name are listed between Registrant Details and Registration Code, I’d still like to have the “First Name” listed after the “Mr. or Ms.” question and answer, and the “Last Name” listed after the “Nickname” question and answer.

    It’s also important that, when one person is signing up for more than one person in a registration, that all registrants are listed, and that their personal information is also included in the automated email to me.

    If it’s possible to not have the words “Question” and “Answer” before every question and answer, that would be preferable. Otherwise, I have to manually take them out, one by one, for creating my roster.

    Hope this is what you need this time:

    Thank you for that information. Here is feedback on the changes:

    Login to your WordPress dashboard and go to Messages. Then locate the Registration Approved message type:

    Click on Event Admin and this will take you to the event editor.

    1) Scroll to the [EVENT_LIST] area and change Registrant Details: to Registration Summary:

    2) Enter a space below the Registration Summary: heading and add Primary Attendee

    3) Scroll to the [ATTENDEE_LIST] area and change Registration ID: to Registration code:

    4) Then in the same [ATTENDEE_LIST] area remove Questions & Answers including the strong tags that wrap around the text.

    5) In the same [ATTENDEE_LIST] area where you just removed the text above, enter a line break (br tag) to shift the existing content down. Then add Mr. or Ms.:

    6) In the same [ATTENDEE_LIST] area where you just added the text above enter a line break (br tag). Then below that line break add First Name (formal name for certificate): and enter another line break (br tag). Then just below that add this shortcode: [FNAME]

    7) In the same [ATTENDEE_LIST] area where you just added the text above enter a line break (br tag). Then below that line break add Nickname (informal name for classroom): and enter another line break (br tag). Then just below that add this shortcode: [ANSWER_*Nickname]

    8a) In the same [ATTENDEE_LIST] area where you just added the text above enter a line break (br tag). Then below that line break add Last Name: and enter another line break (br tag). Then just below that add this shortcode: [LNAME]

    Then save changes through the messages editor (button on right side of screen).

    Okay, I’ve followed your instructions. Then I eliminated a bunch of line breaks, to make it fit my roster needs better. So now the [QUESTION_LIST] box is completely empty. And here’s what’s in the [ATTENDEE_LIST] box:

    Hi,

    In step 9, only the Question: and Answers: text should have been removed along with the strong tags around them. The actual shortcodes need to remain since that it what retrieves the questions and answers for your registrations.

    Step 9 was meant to address this:

    If it’s possible to not have the words “Question” and “Answer” before every question and answer, that would be preferable. Otherwise, I have to manually take them out, one by one, for creating my roster.

    Restore those shortcodes to that area and save changes:

    By eliminating what you asked in step 9, that eliminated everything from that box. That’s all there was in that box:

  • Question: [QUESTION]
  • Answer: [ANSWER]
  • If I omit that, there’s nothing left in that box.

    [QUESTION_LIST] basically loops through each question within a registration and applies whatever is within that field, to each question.

    So here is what happens… I answer the question ‘First name’ in the registration.

    This is passed to the messages system (along with all the others), when it gets to QUESTION_LIST it runs through each question and applies:

  • Question: [QUESTION]
  • Answer: [ANSWER]
  • To that question. Which parses to:

  • Question: First Name
  • Answer: my@email
  • and that is output to the message, then the next question, and so on.

    So as you want no formatting at all you need just:

    [QUESTION]
    [ANSWER]

    but you will likely want something like:

    [QUESTION]
    [ANSWER]

    Thanks, Tony. Unless the “Test Send” messages are not capable of dealing with customized questions, I think we’re still missing a piece of the puzzle somewhere. I see the words, “Mr. or Ms.:” in the test email, but no answer. I also don’t see questions or answers for the registrant’s email address, nor their home and cell phone numbers.

    By the way, I tried signing myself up for a class earlier today, to see what comes through with a real registration, not one from Luke Skywalker. The only way I could get it to send an email to me, the admin, was to go through the entire process of paying for the class. I think I issued my credit card a refund, but I don’t know how to trash my registration. It appears to be locked, and when I attempt to trash it, I get this message:

    An error has occurred:
    The registration for John Fineberg could not be trashed because it has payments attached to the related transaction. If you wish to trash this registration you must first delete the payments on the related transaction.

    So, in addition to getting my Questions and Answers to come through, I need help in undoing my registration (and ensuring that I really did get a credit card refund).

    I know there have to be some positives somewhere. But I have to say that every single thing I do in EE4 is more complicated and less intuitive than what I did in EE3. I hope it doesn’t continue to be this difficult and make me forever regret making the upgrade.

    Hi, you’ll need to send an actual registration through to see your data. The test email feature uses sample data to preview what the email will look like.

    Go to the transaction screen and find the transaction that you processed and click on it. Then delete the payment on that transaction by clicking on the trash can icon and then confirm the changes.

    You can then delete the registration by trashing it through the Registrations screen and then permanently deleting it.

    This is a multistep process to prevent missing information.

    I’ve gone to Event Espresso – Transaction. I see the transaction. But there is no trash can icon there. There is a cart, a PDF, an envelope and a clipboard. No trash can. I’ve tried clicking on various blue links in the transaction, and find no trash can icon there, either. So please send a different answer to solve this problem.

    So as to not drop the ball on the initial reason for this discussion, please also send me instructions for getting the registrant’s email address, home phone and cell phone data to appear in emails to the admin.

    Just so you know, all of the information that I need has an asterisk next to it in the registration form, so it’s all required information in order to sign up for a class. The mystery, then, is why it’s not being sent in the automated emails. What seemingly obvious-to-you, but not-obivous-to-me, setting is not set right?

    Hi,

    When you located the specific transaction on the transaction screen in your WordPress dashboard, did you click on it (as it click on the ID of the transaction or the date of the transaction)?

    This will take you to a screen that shows you the specific details for this transaction. You can then delete the associated payment by clicking on the trash can and then confirming on the pop up window.

    I’ve added additional steps in my earlier post for phone number and email which are system questions:

    Cell phone is not a system question so that will be handle by the questions and answers shortcode which you should have restored after Tony’s earlier reply.

    Hi, that actually looks correct so the information should come through.

    You would need to send an actual registration through to see information for all of the fields.

    There really ought to be a way to test something, without making a payment. Please pass that word along to the developers.

    As to your question:

    You didn’t say which was is the correct way, you just asked a question. The answer is that there’s nothing to click on for the ID number, so that’s not even a possibility, at least not in the Event Espresso – Registrations area. You can click on the name, the TXN date, the upcoming classes section and the event date section. If it’s the TXN date that you’re suggesting that I click, there’s no trash can icon that I can see on that page. So which is the correct place to click, as I think I’ve already tried most of them?

    Try these steps. I’ve verified that they are accurate on the latest release which is 4.4.8.

    Part 1 – Remove the payment

    Event Espresso –> Transactions. Then locate the transaction in the list:

    Clicking on the ID or date will take you to the transaction details page for this specific transaction.

    Payments are logged under the payment details area:

    There is a small trash can icon there that can be clicked.

    If you do not see any payment information, then this would be under a different transaction that does have a payment on it.

    The payment needs to be removed before Event Espresso will let you

    Part 2 – Trash and delete the registration

    Event Espresso –> Events. Then locate the name of the event and hover over it and click on Registrations.

    This will then take you to a list of registrations for this event. Find your registration and then trash it by hovering over the registrant’s name and clicking on Trash.

    Then go to the trash (click on trash view towards the top of the page) and permanently delete it on the next screen.

    I like the first section a lot. That’s the format I want it to be. It’s clean, clear and has no wasted space. I can easily copy and paste it into my roster. However, my nickname and home phone number didn’t show up.

    In the second section, my first and last names don’t show up, but everything else does.

    So how do I get just one list, with every single piece of information I’ve requested, and without extra spacing?

    Okay, I’ve managed to get rid of those test registrations. Thank you for those instructions, Lorenzo. I’m assuming that I don’t have to do anything else to keep my credit card from processing those transactions, right? Or, if it automatically processes the transactions, that it also automatically processes the refunds?

    I went to my PayPal account and found that the transactions weren’t automatically cancelled and refunded. So I did them manually.

    Still working on an answer to getting one streamlined list, with all the info I need?

    So how do I get just one list, with every single piece of information I’ve requested, and without extra spacing?

    As I shared in one of my original posts in this support post, the email system in Event Espresso 3 and messages system in Event Espresso 4 are different so an exact match will not be possible.

    At this point, I’d like to request a temporary login so I can make the changes from my end.

    I’ll attempt to get it close to your original example but again it will not be an exact match.

    If that is possible, then please create a temporary WordPress admin login (and test it), then share that login through this secure link:

    For your new question, applying a refund via the transactions screen will NOT update the payment processor.

    You’ll need to login to your merchant account area (e.g Authorizenet or PayPal manager) and process that refund.

    That is the correct screen. See this page from the codex:

    Enter a username, set an email, set a password, confirm that password (enter it again) and be sure the role is set to administrator. Then save changes.

    Have you had a chance to go in as a temporary administrator and make the changes? As I assume you know, I set it up for you last night, right after you requested it.

    Once again, here’s how I’d like it to look when it’s done:

    As you can see, 1) there’s no space between the lines, 2) there’s no space after the colon, and 3) the questions and answers to those questions are on the same line. Very streamline and easy to copy and paste into my roster. That’s my goal, just to be perfectly clear.

    I unintentionally left out the answer to the Nickname question (above). It’s optional for registrants, but not optional for appearing in post-registration emails, if registrants opt to use one.

    Hello again John,

    Please go ahead and deactivate the temporary login. This is done by going to WP-admin (WP dashboard) –> Users.

    Then look for the temporary login (the username) and hover over it. Then click on delete.

    WordPress may prompt you to attribute any information to an existing user. Pick an existing user and then confirm the deletion of the user.
