Hello – Looking to adjust our registration to a preregistration and then approve attendees model. What I would like to do is gather all of the information required for normal registration up front, including credit card information, and approve the registration later. My hope is that when I approve the registration, all I have to do is click a button and it processes the CC payment. Is there a setting that allows for this? I could allow attendees to register and pay, then refund. But I lose the merchant services fees if I do that. Thanks |

Hi there, Event Espresso does not (and in my opinion likely never will) capture card details directly for use later, it opens up a whole other can of worms with regards to security, PCI compliance and just general all-round good practice which we do not have plans to take Event Espresso into. There is a method in which some payment methods (such as Stripe) use ‘tokens’ (basically a unique identifier to the card details which are stored on Stripe’s servers, not yours) which would then allow you to process transactions at a later date by providing the token…. however, that still leaves you in a fairly similar situation with regards to PCI compliance etc. It’s a little better for you (the admin) but still leaves a lot of responsibility on your shoulders should a data breach happen so again, not something we’ve implemented as of yet. In short, storing credit card details increases risk, it doesn’t really cause us (EventEspresso.com) any issues if you have a data breach but will be a lot more of headache for you, so its not something we have an interest in adding to EE at this time. — We do have a ‘pre-approval’ method you can use within Event Espresso in which the user can register onto the event and add their attended information on the registration form, from there the user will be shown a message stating they are not approved. You (the admin) then need to check the registration and change the status from something other than ‘Not Approved’, so let’s say Pending Payment and trigger an email for them to continue the card payment using the link provided. Does that work for you? (I’ll provide more details on how to set it up if so) |

Hi Tony – Thanks for the response. I figured it was a big ask and understand the risks there. Can you share the ‘pre-approval’ method with me? |
|
Sure, edit the event itself and look for the ‘Event Registration Options’ section: https://monosnap.com/file/veqGe6janFSlze22TcOVX6rPr1CuzT Set that to be ‘Not Approved’. Now add a registration to the event so you can see how that works, it will allow you to select tickets and then ‘register’ onto the event but will stop before displaying the payment options showing a ‘Not Approved’ message. Then if you view the registrations for the event (Event Espresso -> Events -> {hover over event} -> Registrations) you’ll see the new registration(s) with an orange ‘status bar’ (the coloured bar next to each registration) Theres a few different ways in which you can change the registration status, are you allowing multiple tickets at once (group registrations) or just singles? |

We would allow for more than one ticket at registration (family registering multiple kids). Will that method work? |
|
Yeah, it can still work. Can you link me to the event so I can view how you have the registration form set up? You’ll likely just want to trigger the email for the primary registrant and just change the status of the others, but I’ll check that with your set up. Side note – Event Espresso doesn’t officially support separating the registrant from the payee, for example, if the event is just for children but the parent is the payee who does not actually attend. It can be done by needs some additional admin work if that’s what you are looking to do? |

I don’t have the event setup yet. In the past, we had a tiered registration process. We had to create a list of people that could register first, second, and then open to all. We are looking to get away from having to compile the list prior to the event. So preregistration is what we were thinking is a way to have our attendees compile an accurate list. Right now I am just trying to conceptually trying to see what is possible. I am also going to get in touch with Stripe to see what is possible there. For now, we can consider this closed. I will reach back out if I need anything else. Thank you and your team for always being so responsive when we have questions. It is very much appreciated. |

Oh, I see. So yes, it likely is possible to do with the details I mentioned above, triggering the email and to whom will change depending on the specifics of your setup but that’s more of a config/admin work issue than it being possible to do.
You’re most welcome and thank you for the feedback, we are here to help 🙂 |
