Hi there,

We offer safety training for kids and need to set up two different registration forms for a) Schools and b) Individuals. We use EE4.

We have an issue with the personnel information field as it seems that this will be the same no matter if the registration is for schools or individuals.
In both cases the person that is registering is not the attendee, it’s either the teacher or the parent/guardian.

This is our issue:
– The teacher / guardian shows as attendee on the order form.
– When entering more additional participants, the field “personnel information” is repeated. The actual attendee (the child) is not highlighted as attendee. We have additional questions to gather the child’s information and it shows up as participant but the highlighted attendee name is still pulled from personnel information. So if I sign up 5 kids for the program, the personnel information of the guardian / parent will be repeated 5 times.
– I tried a way around it and used the personal information field for the child and not the parent but as it requires an email this doesn’t work because I would need to fill in the same email address for each additional child and would probably get 5 times the confirmation email.

My question is:

a) How can we customize the mandatory personnel information field and just have the first / last name?
Doing it this way we could use the field for the child (the actual attendee of the program) and ask for the guardian information in a different field.

b) Is it possible to set up two different “personnel information” fields?
We need to “label” the field personnel information different for the teacher. Ie. “Teacher Information” for the teacher and “Attendee Information” for the child.

I would like to add:
c) Ideally we want the personal information of the Parent / Guardian and not the child. If we do that, this person is labeled as attendee. Can the label be changed? And can we have the personal information only appear for the first participant to avoid duplicate information of the Parent?

Hi Kerstin,

The minimum information that Event Espresso needs for a registrant is a first name and an email address. If you have enabled the personal question group for additional registrants, then that information will be requested.

You can create custom questions and add to the personal question group. However, those names will not appear on the guest list. Only the name that is collected through the original personal questions will appear there.

Hello Lorenzo,
Thank you for your answer but that doesn’t really help me.
What is your suggestion to proceed in our case:

A parent wants to sign up their 4 children for a program. The children would be the attendees not the parent. Non of them has an email. The parent does but we don’t want the parent to receive 4 different confirmations. We would like them to receive one confirmation with the 4 attendees (the kids).

Hi there,

In addition to Lorenzo’s above suggestion, when you go to set up the Message templates, you edit the Primary Registrant recipient template and set the To: field to have [PRIMARY_REGISTRANT_EMAIL].

Then you switch to edit the Registrant recipient template and set the To: field to be blank, then save. This will send one confirmation only.
