Hi all,

If someone has a pending payment, I see there are plenty of options to complete the transactions, but I noticed one gap. There is no ability to complete the payment at a discount or for free. I allow my users to promo code, but if they mess up or use wrong one I like to assist them. Is there something I am missing here or I can add manually?

Thanks,
Bryan

Hi Bryan,

If you want to allow the registration without payment, you can manually Approve the registration. Approved registrations apply to the event sold limits regardless of the transaction status.

If you view the registration you can click any of the status buttons to set that status – http://take.ms/7SW26

Notice the Send related messages checkbox… if you check that before switching the status, the user will also receive the registration messages for that new status (in this case Approved)

However currently if a user selects the wrong ticket and registers onto the wrong price the registration needs to be cancelled and re-created using the correct ticket.

You can do this manually within the admin if you prefer.

Go to Event Espresso -> Events -> Hover over the event -> Click the ‘Registrations’ link that appears – http://take.ms/Pg3J0

At the top you’ll see a ‘Add New Registration’ button. Click that and you’ll see a ticket selector similar to the front end ticket selector for the event.

You can then provide all the same details the user provided within the questions using the correct ticket. Make sure send related message checkbox is check in this screen and the user will receive new emails for the correct ticket – http://take.ms/Nt7b0

In the old ‘incorrect’ registration, click the ‘Cancelled’ status button but do not have the send related message checkbox checked. That will cancel the registration without notifying the user.

Is that what you are looking for?

Hi Tony,

Thank for you the great information. Being able to manually approve will help with the registration portion of this. However, one quick note would be on the transaction. For accounting purposes, my client wants me to be able to enter that they paid properly. In this case, they could have paid with cash or check, etc. Its also possible for people to be free, could we perhaps include an other in the transaction options (admin view) or something to that effect. The idea is that this way the system won’t think it should be receiving money. Also, then we do not have to recreate anything (from the users view).

Thanks,
Bryan

You can apply payments to a transaction, but you can not currently alter the original transaction total? Does that make sense?

So if your ticket was $100, and you allowed the user to pay $80, you can apply that $80 to the transaction, but $20 would still be owed as you can not edit the original transaction total.

You can however apply the fully amount for user that pay via Cash/Cheque etc.

Go to thr transaction, there are multiple ways to get there but the quickest is via the Registrations list, just click on the TXN Date – http://take.ms/u6jYp

Click on ‘Apply Payment’ – http://take.ms/NkIfd

Here yo have multiple options, you can select the method of payment – http://take.ms/8up6B
(the values depend on your active gateways and what you have setup)

Note you can change the Registration Status AND send the relate messages as you apply the payment. (Double check the defaults suit your needs)

Does that help?

Hi Tony,

This is definitely helping! Here (http://take.ms/8up6B) at the drop down is where I was thinking in the future it would be nice to be able to mark it differently. Like I mentioned before, perhaps being able to select “free” or “other” (even including a comment box) would help to solve at least my issue and possibly others. I completely understand your logic that you can’t change the price, but I guess I was thinking that having the ability add customization to the Payment Method drop down would be good or even having an additional field (like free or other) would be helpful.

Either way, this would definitely be an enhancement request as it does not currently function this way. In general this is an amazing tool and I am truly impressed by its power. I will be recommending it to other clients in the future as well.

Thanks,
Bryan

Hi Bryan, is your question related to adding an additional option in the dropdown menu?

If so, you can activate an offline payment method that is not currently in use such as Bank or Check. Then uncheck it from the front-end registration of the site via the payment methods page.

Then rename it to something else (e.g. complimentary or other) and finally save changes.

That should make it available for selection when you are adding a payment to a transaction.
