Payment by check – how to set Registration Status to "Pending"

We accept payment via PayPal Pro or by check. When someone indicates that they are paying by check, how do we ensure that their registration status is sent to “Pending Payment”?

I am not seeing this happen consistently, and when it does not happen, the required follow up registration messages are not triggered (one to the registrant with address etc, and one to us, for tracking purposes). This just happened, and it’s particularly concerning because the event is in a few days and we are requiring vaccination documents for attendees, which also need to be tracked for follow up.

A related question, when a transaction is abandoned, the registration status is “Pending Payment” by default. Again, notifications are not sent – we would like to receive those for customer service follow up.

Hi there,

When you edit an event, on the right-hand side in the Event Options panel there is a dropdown menu to set the default registration status. The default setting is “Payment Pending”, leave it that way so if someone pays by PayPal and their payment is successful, then their registration will be approved.

And then, with the Default Registration Status as “Pending Payment”, then attendees who are paying by a check or invoice, their registration status will stay as “Pending Payment” until you manually approve their registration when you get payment.

Thanks for the reply! Unfortunately that does not help, because we have a partial payment option which allows a registration to be approved with only a deposit. So registrations need to be “Approved” by default in order to count people who have paid deposits (not to oversell registrations).

I’m not sure I follow here as your last reply seems to contradict your initial request. To explain why:

In EE4 pending payment registrations don’t count towards the cold values, but you want check payments to be pending payment? Then:

But not check payments? Should they be pending payment or approved?

Currently within Event Espresso you can only set the Default Registration Status based on the event, it sounds like you are looking to set the status based just on the payment method used, is that correct?

A related question, when a transaction is abandoned, the registration status is “Pending Payment” by default. Again, notifications are not sent – we would like to receive those for customer service follow up.

This is not something we have available within EE currently.

We do not approve a registration (or count it toward the total enrollments) until the check is actually received. When the check arrives we change the status to Approved and issue a receipt.

The most important aspect of this for us is that a “Pending Payment” message needs to be sent to the student with instructions for mailing their check, and to our inbox so the registration can be tracked and/or followed up until it is paid/approved. As things are now, there is no alert.

The only way to know to expect a check is to search for “Pending Payment” registrations manually, on a periodic basis. At that point, we also have to sift out abandoned transactions which can occur for various reasons other than check payment.

Ok, so what you are requesting is the default for Event Espresso, however, the user MUST select a payment method and then click to finalize the registration to trigger emails.

Currently, on your site, it looks like the ‘Finalize Registration’ button has been changed to just show ‘Pay Now’:

That may be part of the confusion here and why your users are stopping on that step without finalizing (which then doesn’t trigger the emails).

You could add some additional text to the ‘Description’ field of the check payment method:

Event Espresso -> Payment methods -> Check -> Description

To inform users that they must click the ‘Pay now’ button even when selecting check to finalize the registration, or change the text on that button to something a little more generic.
