I need help with sending out bulk emails to registrants of a specific event, but I cant figure out how to assign custom emails to new events. in the old template there was a section on event page that would list all custom emails to select from. Can you please help me with this for EE4 |
Hi Meg, The Batch Message uses the Newsletter message type so you need to make sure that is active first. Go to Event Espresso > Messages > Settings tab, and check if the Newsletter is in the Email Settings box. If not drag it from the Inactive Message Types box on the right to the Email Settings box, this will activate it. If you then edit an event and scroll to the bottom there is a Notifications section. You can set up custom messages from there. |
I get it, but I how do I set up a custom welcome email or custom reminder messages for an event? |
Hi Meg, You could go to the messages overview screen and then locate the newsletter message type: http://cl.ly/image/031u1A3l2c41 From here, click on Create custom which will take you to the messages editor for this message type. Make changes here and then save. Now if you can use this message type as a template when using the batch email option from the registrations page. If you would like to customize the registration details email, then select the create custom button for the registration approved message type: http://cl.ly/image/3z083U2y1s1k Then makes changes, enter a unique name such as ‘custom registration approved for event ABC’ and save changes. The last step would be to go to a specific event in your event editor and then scroll down to the end of the page and you’ll see the notifications area. Next to registration approved, switch the dropdown to use your custom message type and then save changes to the event via the event editor. — |

The drop-down doesn’t let me send a custom newsletter. It only gives me an option to select a custom message for basic tasks like payment received, sent, error, thank you etc. Even if I select a custom email then there’s an option for event admin and event registrants. No matter whichever I edit a very standard email is send to the customers. You’ll have to fix the problem. I’m having a hard time with the new EE 4 compared to the previous one. |
Hi Meg, Can you provide further details on what it is you are trying to achieve please?
A welcome email as in the registration confirmation or another separate email? Currently ‘Event Reminders’ needed to be done manually through the newsletter feature. I think there may be some crossed wires with what you are trying to achieve and what we are trying to show you. So if you can provide details of what you would like to achieve we can advise the best way to do that with EE4. |

Currently, it doesn’t send a custom email to new registrants, pre-created email is being sent to the admin and the registrant. Switching recipients doesn’t work as well. I think you’ve made it more complicated in EE4 compared to what it was in EE3. Here’s what I’m trying to achieve. I want to send out welcome email for every new event that is created, but I want a custom welcome email (registration confirmation along with a small welcome note about the event and its whereabouts) to be linked with that specific event. I also want to send out batch messages to the event registrants of a specific event reminding them about the event date is approaching. |
Its a completely different system than EE3 and allows for much more flexibility although it does take a little getting used to.
How does it not work? Switching recipients using this? – http://take.ms/ELCXv
Ok, so that’s a Registration Approved message. You’ll need create a custom Registration Approved message template. Go to Event Espresso -> Messages -> Registration Approved, click ‘Create Custom’ – http://take.ms/a3NKD When you click that you will create a custom template, assign it a name and description (if needed) – http://take.ms/mApn2 Any changes made on that template only apply to that custom template… note the template itself has 2 ‘contexts‘ Event Admin and Receipient. Each template has its own contexts, changes made to each context are specific to that context as well as the specific template. So made sure you are editing the correct context, for example including information you need for only the Event Admin within the Event Admin context. So now you have a custom template, you need to tell you event to use it. Edit the event, scroll down to the bottom and you’ll find the ‘Notifications’ section – http://take.ms/t7Bnv The registration approved template is an Email template, so click the Email tab, select the custom template from the dropdown and update the event. (Notice the ‘Create Custom’ and ‘Edit’ buttons there, you can use those to create the custom template from within the event, it’s the same as the button we used above and is specific for each template) Now when your registrants register onto the event they will be sent that template.
That’s done with the newsletter message which is used differently, I’ll move onto that shortly. Does the Reg Approved custom message template above make sense so far? |

Here’s one thing I’ve noticed. My custom payment received message is displayed properly on the payment page in PDF format, but the email doesn’t show the same thing. Email shows the default payment received message. I’ve double checked the notification settings on events pages for the same. |
There is no PDF format for the Payment Received message type? Could you add a screenshot of the section your are referring to please? |
Yes, I’m talking about order/receipt. You can test it at |

Any update? |
So your still not receiving your custom messages for reg approved?
I’m not sure what you mean by both the options are the same? PayPal Pro and AIM are both ON-site payment methods, they collect the same payment information so looks very similar, although they are separate gateway provides. Do you have a PayPal Pro account (‘Website Payments Pro’ in which you pay a monthly charge for, see here) or PayPal standard which would take you to PayPal’s site to make the payment? I’ve just ran a test registration using false details and the error thrown was expected:
Both Paypal PRo and AIM have been activated with key codes. why do you still get the error message when attempting to register with payment? |
Hi Meg, Both payment options are for accepting credit cards — however they are different companies. Tony’s question was about the type of account that you have with PayPal. For example, if you registered for an account with PayPal.com today, then you could use PayPal Standard today. However, for using PayPal Pro, you’ll need an upgraded PayPal.com account which has a monthly fee. We are asking about the accounts so we can share feedback on the error that you are seeing. With that mentioned, could you let us know if you have a Pro account (monthly fee of $30) with PayPal in addition to your Authorizenet merchant account? Thanks — |
Yes, I’ve been paying $30 Paypal Pro for past decade. All the payment options worked fine in past EE3, so why is it a problem now in EE4 upgrade? |
Yes, it is paypal pro. |
We had paypal pro in EE3 as well and it working completely fine. |
Hi Meg, we ask questions we we aren’t sure about something. Otherwise, we would be guessing which doesn’t get you a timely solution. Could you create and share a temporary login via this link so we can continue troubleshooting? https://eventespresso.com/send-login-details/ Thanks — |

Hi, I received a declined which was expected when testing Authorizenet AIM with an invalid card. Could you go to this link to clear your current registration session and then try again? https://newearthcentral.com/registration-cancelled/ — |
All unsaved registration information entered during this session has been deleted. |
I tried to run a cc test with AIM, and got this error message |
Can you please tell me what is the problem? |
Hi Meg, We do not test payments using live card details, so I swapped out your Auth.net credentials for one of our test accounts and ran a test registration which worked correctly. I check this both logged in and logged out of the site, each time the payments went through successfully and the registration emails sent. Can you re-check your Auth.net credentials are correct, we have a guide on locating your details here: https://eventespresso.com/wiki/authorize-net-aim-payment-gateway/#setup I’ll run through some testing on the PayPal gateway now. |
I have finished testing registrations using PayPal Pro, the payments worked as expected with our test account. However I did reproduce the error you mentioned above:
Although for me this happened on the registration step, not payment and I suspect is caused by the server timing out due to being under load. Are you using shared hosting? A couple of times I noticed a significant delay in receiving a response from your server. This wasn’t just on the Event Espresso pages but on multiple pages throughout the site (including the home page). This can happen if you server is under high load and can not keep up with all of the requests, which happens very easily on shared hosting and would fit with all of the above reports. Do you have access to the sites error logs? |
Yes, the website is on shared hosting account. Did you also test the welcome email problem which you had explained in the following post? I followed your steps and it didn’t work for you as it isn’t sending correct email to the registrant. You can create a test event if you want. |
I ran a new cc test and both AIM and Paypal Pro are working now. But there is a glitch at the payment page. The 2 payment option buttons are shown, but when you select the option button an error message appears in red that all the payment data is missing. this message is premature, when we don’t have anywhere to enter cc data yet. |
Yes those error logs however its common for cPanel not to show errors even if they are being thrown, it depends on how the site is set up. Its better to check the sites root directory for a file called error_logs (and again can sometimes be named slightly different depending on the host set up)
I did test the messages and do receive your custom message. However you currently have the custom template setup with the ‘Payment Received’ message. This message is just a short message sent when you site receives confirmation of payment, you need to use the ‘Registration Approved’ message for your details (this is sent once the registrant have been registered and paid onto the event) It’s the message templates I highlight previously within this screenshot – http://take.ms/a3NKD
This is not happening for me on Chrome, Firefox and IE, which browser are you using? Can you go to this page: https://newearthcentral.com/registration-cancelled To clear your current session and retest please? Does you host run any server side caching? You may need to contact them to confirm this) |

My international customers are emailing that they cant register with EE4. How do we set it up for international customers with AIM and Paypal payment options? |
Hi Meg, Our team is based in several different countries. Myself and Tony have tested and it worked for us. I used Safari on a Mac for testing since that is the web browser that I regularly use. Could you ask one of your international registrants for their web browser so we can re-test again? Also, there isn’t any special setup steps that are required between a domestic registrant and one that is located in another country. Both would be required to select their ticket options (pricing options), enter their attendee information and then pay. Thanks — |

I’m still having trouble sending a Batch Message to all the event registrants. It seems to only send selected Custom Message to 10 on a page. How do I send Batch Message to large registrant group? |
Hi Meg, the batch email option is based on the registrants that are selected via a checkmark. You could raise the pagination option via Screen Options in the top right area of your screen from 10 to a higher value like 100. Then use the bulk selection option to toggle 100 registrants at a time and then select the batch email (newsletter) option. — |
Copying myself in here as I am also having a nightmare sending custom newsletter messages to event attendees. It seems the short codes for any event related details don’t work in this template, which means we can’t really use it to provide any reminder details for the event, such as start time, finish time, location/address, name of event, and any custom meta created. |
Lorenzo, I can’t get your instructions to work. When I increase the number to 100 in Screen Options, it doesn’t work. Still see only 10 to a page. When I click on the bulk box to select all registrants, only 10 show in the Batch Message box. I need to send batch messages to the entire class. Please help! |
Hi Meg, are you saving changes afterwards? Entering 100 in the field box alone will not make the change unless you save those changes by clicking on the Apply button next to the field: http://cl.ly/image/39400H2W0V46 — |
Hi Lorenzo, I did click Apply to save 100. But when I select/click the batch box only 10 on the page show up to send Batch Email. How do I send the Batch email to a large class? thanks, Meg |
Hi Meg, I’ve sent you an email. — |
