So we’re a fitness business that runs various fitness classes and are looking for a platform to help us manage the workload. Before buying, I just want to see how Event Espresso deals with the following:

1. Dealing with multiple classes happening at the same time (let’s say we have 2 different yoga classes happening at the same time in 2 different locations, or we have a yoga class happening in one location and a pilates class in another).

2. Our clients book classes in blocks, not just individual classes. Is it possible to do forced block-bookings where they have to buy a series of classes for one up-front payment? E.g. Our Yoga class is a 5-week program, they pay up front and then get access to all 5 of the classes. We do not want to give them the option to buy individual classes in the first instance. Only once the ‘Course’ of classes begins, we would like the option to open up individual classes in the case of people dropping out for one class here and there. Will EE handle this?

3. Is it possible to limit the number of ‘tickets’ available for a class and then once that limit is reached to create a waiting list, all automatically? And the waiting list, do these people get added to our email marketing software (Infusionsoft) or is it done within the EE Plugin?

4. Do you have an example of a website for a fitness business that is using EE for class booking in perhaps a similar way that we can take a look at to get an idea of the User experience in terms of our clients?

Thank you so much in advance,
– K

Hi Benefit,

How are you today? I will share with you how Event Espresso 4 works because I believe it will fit your needs better.

Re:

1) Sure, you can have multiple events running simultaneously, and both of them will show up on the event calendar or in the event list.

2) You can assign a ticket to one or multiple datetimes. This gives you the flexibility to sell course tickets first, and then create individual event tickets later.

3) With waiting lists in EE4, I usually recommend creating a “Wait List” ticket that anyone can sign up for in case the ticket they want is not available. Then, you can email the people who signed up for that ticket and invite them to purchase a real ticket or manually register them for another ticket.

4) I can ask our team if they have a list of people, but I don’t have time to track all the ways and clients who have events like your happening right now. It’s just tough to provide that list because we don’t track it thoroughly.

Does that help?

Garth, this is great thank you.

Ive taken a test drive of EE4 and it looks great – however I am not clear at all how to do the ticketing, where can i find out more?

To clarify, what we want to do is have a Calender view and/or Events Table with all of the individual dates that things are happening, but we want people to block-book a number of dates all at once.

So for example, they see Yoga displayed on Jan 1, 7, 14 and 21st. They click on any one of those dates and, if today’s date the date they are booking their tickets) is before the first date in the series (in this example Jan 1st) the only ticket available is a 4-week pass for ALL four of those dates.

However, whenever we wish, we’d like to open up those individual dates for booking later too (probably after Jan 1st in the example).

I’m hovering over the ‘Buy’ button on EE right now, but I want to make certain it will handle the multiple dates element, as this is core to the way we run things here.

Thanks so much for the promptness of your replies, much appreciated and it instills a lot of faith 🙂

Hi there,

I am very sorry for the delay in response.

Although you can sell multiple tickets within a single event, we don’t have Multiple Event Registration functionality in EE4 at this time. This is possible with the Multiple Event Registration add-on, is included in the EE3 Business and Developer license packages, or can be purchased separately with the EE3 Personal license package.

Also, if an event date has passed, the tickets for that event will not be available for purchase. If I am understanding your inquiry correctly, this is the way you want it to work. Correct?
