Incomplete registraitons causing courses to be sold out

I understand that as soon as somone clicks regsiter for an event, EE removes the number of spots avaible for that event by 1 to make sure there is no over booking issues. I had a student commplain they couldn’t register for an event. So I tried to register and saw that there was no issue. The problem now is because I tested the registration system and found it working, I created an incomplete reservation. now that course is listed is sold out.

How long will the incomplete registration be held? When will this registraiton go away and the event will go from sold out to 1 spot left? Is there a way to change how long this takes? Its been 30 minutes now and cousre is still sold out.

I tried to mnaualy change the cousre from sold out to published but it didn’t make a difference.

Is there a way I can make this happen immediantly instead of waiting for this timer?

I just tried trashed the incomplete registration but its still listed as sold out.

Now it says there are 2 spots left on the calander but its listed as sold out. To be clear when I frist looked into this the calander correclty said there was 1 spot left and the you were able to register.

Hi Ted,

You can avoid making the event sold out when you do a test by changing the registration status to “Cancelled” for the test registration. Also, if you offer an offline payment method like “Invoice”, you can finalize the test registration after your select the offline payment method. When you finalize a registration but do not pay, the reserved ticket gets released back to the inventory.

Ok will try that in the future but that doesn’t explain what happened.

This morning that course had 1 spot left.

I “tested” to make sure that the registration was working which it was. Then EE counted the incomplete registration toward the course total and said it was sold out. I understand it does this to inorder to make sure there are not overbookings.

What i don’t understand is Id eleted that incomplete registration. Course was still listed as sold out, and then it showed 2 spots were left. Then 10 minutes later it showed there were 3 spots left. Why does the website now say there are 3 spots left when this morning it correctly said there 1 was spot left. The only thing that happened was i tested the to see that the registration was working then I deleted that incomplete registration.

Hi Ted,

Reserved tickets get released back into the inventory if a) the registration in progress did not pay or b) the timer runs out. Without knowing every detail about your event I can’t tell you exactly why it’s showing 3 spots left now. We can investigate further if you can complete the form on this page:

How long till the timer runs out and ticket is released?

Hi Ted,

60 minutes, but if you go and trash the ticket before the 60 minutes, it won’t get released back into the inventory.

I moved your test registration back out of the trash, set its status to cancelled, and now the class is open again.

With regards to your question “Why does EE list it as sold out AND saying 2 spots then later 3 spots”, it looks to me that the ticket price got changed, so the original ticket price’s sales aren’t getting reflected in that total. Which may be something that should get fixed in the software if we can reproduce the same issue on other sites.

Ok so if I student goes to my website and clicks register but don’ts fill it out or finish it for whatever reason, after 60 minutes the ticket is released and the spots available will be accurate? Or are you saying after 60 minutes I have to find that incomplete registration in EE and set the status to canceled in order for the spots available to be accurate?

After 60 minutes the ticket is automatically released, you don’t need to find it and change the status. The exception being where you go in and move that registration in progress to the trash before the 60 minutes is up.

I created a test event this afternoon. It has 2 spots in it. I successfully registered for 1 spot, leaving 1 spot left. I then clicked on register but didn’t finish the registration process which created a incomplete registration. I did that at 4:38, its now 7:07 the calendar says the course is sold out. It doesn’t seem to be releasing these incomplete tickets as its supposed to.

It may be releasing the tickets as it’s supposed to. If you go in and click update for the sold out event, does it stay sold out or does it open back up for sales?

No hitting publish did not change anything, still listed as sold out and no spots available on the calendar.

OK that may be because of the caching that’s running on your website. Did the developer that added the caching plugin make sure that Event Espresso pages don’t get cached?

John I have had my webguys make the changes you have suggested.

I’m still having 2 issues.

#1 I created a test event March 1st with 2 spots. I succesfully regsitered 1 spot. Then I on purpose started registration and didn’t finish. This creates a incopmlete registration. This caused the course to be sold out. The ticket has still not released and this course is still listed as sold out no spots left. This course should be listed as 1 spot left and not sold out. My web guys refreshed the cache per your recomnedations. It seems like when incopmlete registration causes course to be sold out its not being released. Would you agree?

#2. The orginal course on April 13-16. At the begining of the day yesterday the calander accurate displayed 1 spot left. I created an incomplete regiration which made the event sold out. You went and and fixed something but the there has been no explantion of why the calander shows 3 spots left.

You mentioned something about the prices being different which is true. In janurary I raised the price by 100 bucks but that chagne was made in January. It seems like when incopmlete registration causes course to be sold out its not being released.

It shouldn’t cause that and it doesn’t happen that way on our development or testing sites. That’s why I asked about caching.

I don’t know. Do you remember anything else that got changed on that event between those times?
