Implementing a conference with multiple tracks – need advice for how to set up

Hi there,

I’m developing a registration system for a conference, which includes workshops. Attendees register for the conference, and then can select 1 of two workshops for each available time slots.

I was thinking that we could have attendees do the workshop selection using a Question Group, but I don’t see a way to add a surcharge to an event based on a selection in a question group.

We could also put each workshop in as a separate event (with a separate ticket cost for the materials fee), but I don’t see a way to prevent people from adding workshops to their cart UNLESS they’ve also added the full conference cost.

We also need our conference organizer to be able to move people from one workshop to another, and provide refunds if people sign up for two workshops in the same time slot.

Is it possible to change ticket types or add costs or discounts to registrations after they have been made, but before the payments are processed?

Hi Anca,

You can set this up within a single event using multiple datetimes and tickets. It depends on how much control you need over each class limits/registrations etc as to exactly how you will set this up.

For example you could set up 3 datetimes within the event, one for the main event and one each for the additional workshops.

You then create a ‘General Admission’ ticket and set this to required, like this – http://take.ms/TgS3v

So you’ll notice that ticket is set to be required and the ticket only applies to the ‘Main event datetime’ which means the sold values for that ticket only apply to that datetime.

The workshops tickets are not set to required and only apply to their relevant datetimes too – http://take.ms/mFVWs

If each workshop has multiple individual time slots and you need to monitor registrations per time slot you’ll need individual datetimes for each timeslot, and a ticket for each of those timeslots for your user to select.

This is currently not available. You would need to set the registration status to Cancelled on the original registration (or remove it completely) and re-register the user on the new workshop.
