I’m hoping you might have some suggestions on how I can input daily events without going through the cumbersome process of adding each datetime one by one. I need to set up a Tennis program which occurs Monday – Friday over 4 months. In one day, there’s 4 different levels of tennis practice that occurs at different times in the day. The registrants would purchase a practice at let’s say $10/session (which is just one day). These are not multi-day events… meaning someone would just purchase June 10 from 11am – noon for $10.

If you total that all up, that’s approximately 80 days of events with 4 datetimes/day so 320 unique datetimes. This will be too cumbersome for my clients to manage long term. Do you have any suggestions on how to streamline this? I’m a bit stumped.

Thank you

Hi Eddy,

The above is basically a recurring event which is not something Event Espresso 4 currently officially supports.

Creating a single event with multiple datetimes (which would also need individual tickets creating, 1 for each datetime) would be really difficult to both manage and register onto as the ticket selector would show all 320 selections.

What you could do is create a single event for each day setup the datetimes/tickets how you prefer and then duplicate that event multiple times. However you will need to edit the dates within each duplicate to match. You could also do this in ‘weeks’ so a single event for 1 weeks worth of events.

Tennis program – week 1,2,3 etc (selecting any individual event allows you to book onto any day within that week)

In one day, there’s 4 different levels of tennis practice that occurs at different times in the day.

Is this levels as in Beginner, advanced etc so 4 completely separate tracks that can be ran simultaneously? Or a single time slot could have any level but only 1 booking per day?

Thanks, okay I think we might do the weekly option. I may even go monthly and have a datepicker and time/level choice.

The levels are for different age groups/levels, yes, and each group has a different time on that day. I think that answers your question?

I know you probably get asked a lot, but is the recurring events feature being worked on? I could maybe pitch to the clients to do it this way for this year until the new feature is rolled out.

I may even go monthly and have a datepicker and time/level choice.

If you do that you can’t set limits per class for the registrations, for example if you only have 15 spaces per day you can’t use a custom question to allocate those registrations to specific datetimes, you need to use tickets.

The levels are for different age groups/levels, yes, and each group has a different time on that day. I think that answers your question?

Almost, basically I’m trying to find the best way you can set this up, but it all depends on how much control you need.

Do you need to set limits per age group, per day. Do you need individual timeslot to sell out so no one can purchase 2 of the same time slots. The more restrictions you need, the more datetimes and tickets you need which means the less you should using within a single event (as the ticket selector gets harder to navigate for your users)

It is currently under planning, we need to include other features within core for recurring events to work. So we do have it on our roadmap here:

https://trello.com/b/zg9DCIpe/event-espresso-public-roadmap

Or to view recurring events directly here:

https://trello.com/c/7E8HquIj/12-add-on-recurring-events

But we do not have an eta on when this will be available currently.

Hey Tony,

Thanks for the insight. I’ll find out about the ticket limits from the client, that’s a great point.

Thank you
