My client wants to be able to occassionally add a comped registration to a class. She tried doing this on our first class setup, but when she did the registraiton was stuck showing no payment, so did not display as an approved registration or display as a class attendee. What is the best way to add someone that doesn’t actually pay (she doesn’t want to manually show them as paid through paypal or anything as that would mess up her bookkeeping $). Perhaps gving a 100% off coupon to the user would be best? Here is our event page if it helps: |
Hi there, So there are a couple of different ways you can do this. You mentioned a 100% promotion and I’ll start with that as it is an option, however that promotion will need to be set to be applicable to the event which also means the promotion field will show on checkout when someone registers onto that event (which may not be a problem if other promotions are set to apply). However, you (the admin) always have the option to change the registration status regardless of the transaction/payment status so a registration with monies owing can still be set to Approved if that is what you are looking to for? Note that the transaction will still show as incomplete in Event Espresso but an Approved registration is always counted towards the sold values. If you need the transaction to show 0 value, you would be best using the promotion code method, but if it doesn’t matter about the transaction value/owing amount, just set the registration status to be Approved (you don’t need a payment in PayPal for that). I can add more details on either if needed, just let me know which you prefer. |

I think for bookkeeping, she may need to use the promotion. I’ll talk to her about it, but you can go ahead and mark this as closed now. Thank you. |
Just in case you aren’t aware, the admin can add both registrations and promotions to the transaction through the admin itself. Event Espresso -> Events -> {hover over event name} -> Registrations. That will list the registration for that specific event. Click the Add New Registration button at the top of the page. There you can add a registration onto the event you hovered over earlier. After the registration has been added, you’ll be directed to the EE Transaction page for it, there you can apply promotions: |

Thank you Tony. I will pass this info on to the client. You can mark this as closed for now if you want! |
