Family Registration with Multiple Attendees – reuse some information but not all

My registration will serve in the class/student setting.
Usually, mom registers multiple children for classes. Classes are separated by age. “Attendees” are technically the children only, not parents.

There are some pieces of information that are the same for each attendee such as address info and some of the extra questions I have set up that are meant to be answered one time by the parent (such as signing up for their volunteer position and their committee position).

There are also some pieces of information that are unique to each attendee such as first name, birth date, allergies and other health concerns, etc.

I noticed the option to “Use Attendee #1’s information for ALL attendees” but that won’t exactly work for this purpose.

I’m not quite sure how to solve this.
Would I make one group of questions that is for just the parent to answer, which would be the items which are the same across all attendees and then another group which include the info that is unique to each attendee?

I was looking into the question set up a little and it wasn’t immediately obvious to me how to figure this out.

Hi there,

With Event Espresso you can set the questions groups asked for the Primary Registrant and then any additional registrants, so you can ask a specific set of question groups once for the entire group and then groups that are asked for each registrant in the group.

So you basically need to separate out the parent from the children, use the child info as registrants and the ‘payee’ is the parent, correct?

Event Espresso doesn’t officially have a separate ‘payee’ (in this case the parent) from registrants but it can be done using custom questions.

I can direct you on how to set up your questions for this type of set up but I just want to confirm the above is correct so we don’t start on the wrong path from the beginning.

Your set up would look something like:

Select 3 tickets from whichever ticket type:

Primary Registrant questions (first registrant)
Parent info, this could include address info and any not directly related to the child.
Child info (first name, last name, email is required but can be hidden, DOB, allergens etc)

Each additional registrant
Child info (the same questions asked in the above child info section but for each additional registrant (aka child).

That sounds right as far as I understand the terms registrant and payee. It makes sense to me so far! 🙂

Just checking back to let you know that just you pointing out the Primary Registrant and Additional Registrant (which was right in front of my face the whole time) has helped quite a bit and I’m making progress in the setup. Don’t feel like you have to answer again unless I come up with another related question below this. Thank you!!

Just a quick note that often users will try to set this up so they collect the child info in custom questions and not use the 3 system questions in the Personal Info group. After setting that up (and sometimes starting registrations) they find that it is the incorrect method to use as the Personal info question group is used to create the registrants, if you don’t use the child’s info there then all of the registrations will show as the parent (or whatever you are using the personal info group for) attending the events, not the child.

So, set the Personal info question group with the 3 system questions as the child info, collect the Parents info in a custom group (with custom questions) and then you can use the answers to those custom questions to send the emails to the correct person.
