Event still shows as sold out after a registration is cancelled

We are using version 4.9.16.p with WordPress 4.6.1. We had an event today that had a limit of 35 registrants. Event Espresso worked fine and properly tracked registrations as they came in. Once we sold the 35 tickets, the registration page indicated “sold out” as expected. Yesterday, one person cancelled due to illness. I cancelled her registration (and issued a refund). The event page inside WordPress correctly showed the number of approved registrations as dropping to 34, but the registration page on our web site continued to show the event as sold-out. That meant that people could not know there was one space still open, nor could they register for the open slot even if they did know. Short of my increasing the number of tickets to 36, is there something else I should have done to get the registration page to show that a space had opened up, or is there some other fix for this?

Hi there,

Once that space is opened up due to canceling the registration, you’ll need to go in and edit the event, and click the Update button (it may even say Publish). That will switch the event from its Sold Out status to no longer be sold out.

Sorry to be dense, but I’m not seeing how to do that. The Update Event Status edit drop-down only lists pending review, draft, cancelled, postponed, sold out. Event Registration Options Active Status says “sold out.” In Event Tickets and Datetimes, the number of tickets sold still reports 35, but Approved Registrations shows 34.

When you cancelled the registration, did you actually update the registration status or just the transaction?

I really don’t recall because I was trying different things at different times. All I know is the total number of registrants dropped by one, but the number sold did not, nor did “sold out” go away. I suspect I missed a step or didn’t do things in the right sequence. I think I have to wait for the next time this happens to see if I can do it correctly. Unless you can point me to a sequence of steps to follow, we can call this closed for now. Thanks!

You can check the registration status and compare the transaction status as well, right now, to see what was done.

Registration status shows “cancelled.” Transaction status shows “complete” with payment and refund summing to $0. Is the complete transaction causing the problem?
I think I will try creating a dummy event and working through the process that way, but I can’t get to it this week due to other priorities. Anyway, the event was yesterday, and we generally do not have an issue with our events being sold-out, so I have time to sort it out.
Thanks for your patience with me as I am just learning how to use your product – which I really like despite any hiccups on my end.

Hello,

Here is a way to test that out.

You could duplicate an existing event and then save it as a draft. A draft means that it is visible to an event organizer / event admin that is logged-in but it won’t appear to a public visitor (e.g. a registrant/attendee).

Then update the quantity limit on the pricing option (e.g. a ticket option) to a low value for testing such as two.

You can then preview the event and register and then there will be one spot remaining. If you register again, then the event will become sold out.

You’ll now have two registrant records for testing. You can cancel one of them through the registration details screen. Then go back to the event and you can update it to a draft.

Preview the event again and there should be just one spot remaining.

Once you are done, you can trash the event so it no longer appears in the events overview screen within your WordPress dashboard (WP-admin).
