We have used Advanced Custom Fields to add a number of file attachment fields to an event (for course materials). We have created a shortcode to insert links into the registration approved email and this works well. The client however does not always have the course materials available until very near the course and so this email will often not include these. The obvious solution would be to create a batch email to send to registrants at a later date but we cannot of course attach event specific fields/shortcodes to these types of email, or can we? We’re struggling a little to find a solution to this as we don’t really want to have to manually resend the registration email as it may confuse registrants and cannot be done in batch. Can anyone propose a solution to this? Very many thanks! |
Hi there,
No, you can’t, at least not currently.
The registration emails can in fact be batch processed, although how is not obvious at first. So, if you could include additional details within the registration approved email (or create a custom template and assigned it to the event with additional details) and then batch send to approved registrations, would that work for you? |

Hi Tony, It sounds like it might do the trick – how do we batch send the registration approved email? Very many thanks! James |
In short, you use the bulk actions to assign the registrations current status again and notify in a single step. So as an example, if you want to re-trigger the registration approved message you go to: Event Espresso -> Events -> {hover over event} -> Registrations. Select the ‘Approved’ status in the filters at the top and click filter. Now you’ll have a list of only Approved registrations. Click the checkbox to select all next to the ID field (I recommend to test this using just one registration first). In the bulk actions select ‘Approve and notify registrations’ then click apply. EE will loop over all of the selected registrations, set them to Approved (they already are) and trigger the notifications for doing so (Reg Approved email). You still have to do that in that in pages but that means you can stagger the email so you don’t hit any minute/hour/daily etc limits you may have on your mailserver. 2 things to note when doing this… 1. EE will use the ‘Registration Approved’ message template assigned to the event at the time of generation. 2. You’re setting a registration status here, in my instructions you filter to only view Approved registrations but you can technically do this with any registration status. If you select the same status that the selected regs have there’s no change, but be careful you don’t select a bunch of say ‘Pending Payment’ registrations and accidentally Approved and notify those. |
