Event reminder email

Hi, I would appreciate your advise and recommendation to what the different options are to send an event reminder email. I have read 2 different ways:

1. Automated Upcoming Event Notifications add-on – this won’t work very well for us, because, even though the event may have multiple date/times, we don’t define them all. Unless it can also be triggered manually?
2. Using the Batch message template but this doesn’t allow for the inclusion of event details shortcodes.

Is there any other way that I’m not aware of, that can do the event reminder email? Thanks.

I don’t think the Automated Upcoming Event Notifications add-on (AUEN for short) will not work for your setup in that case. It only processes the first datetime (event notifications) or each individual datetimes within the event (datetime notifications) and you can’t trigger it manually.

2. Using the Batch message template but this doesn’t allow for the inclusion of event details shortcodes.

Batch messages are intended as messages sent to each ‘person’ rather than individual registrations. It’s an important distinction but as you’ve mentioned it means event-based shortcodes can’t be used in those messages.

What you do is set up custom Registration Approved message templates as reminders, the content of those can be whatever you prefer.

Assign the custom message template to event in question and then select all the registrations you want to send a message to in the registration list and select the ‘Approved and notify’ bulk action. That will set the registration to be Approved and send the current message template assigned to the event.

It’s a manual process but gives you all of the available shortcodes and the ability to select the specific registrations to send to.

Would that work for you?

Thanks for your advice, Tony.

With the custom Registration Approved message, will that also mean that that will be the message that a registrant will get when they register successfully for that event?

And can you only send it to registrations that have not been approved?

Going back to Batch message template, can it still be used if I just draft the message manually?

If you leave it assigned to the event, yes but otherwise no.

What I’m suggesting is you create a custom template, assign that to the event, then trigger the message approved message. You can leave the ‘global’ template assigned to the event for open registrations and only assign the custom template when you want to trigger reminders, then assign the global template when done.

And can you only send it to registrations that have not been approved?

Not been approved? I’d recommend using the method above only for sending it to Approved registrants. You can also do the same with other registration messages but would need to use the status the registration has already.

So for example if you sending an email to Approved registrant,s use an approved registration message type because it allow you to ‘set’ the registration to be Approved and trigger the notifications (they will actually already be approved, but thats how you ‘retrigger’ the custom message in bulk).

If you also want to send an email to ‘Pending Payment’ registration, you do the same with a Pending Payment custom message type, select a bunch of pending payment registrations and then in the bulk options select ‘Set Registrations to Pending Payment and notify’ so that it triggers the custom Pending Payment message type.

Sure, manually drafting the email and using the batch option can work.
