Hi, my name is Guy Michaels and I am currently running EE3, EE4 does not yet offer the features I need šŸ™ I have a question about the recurring events portion of the program. In my events I made a year long calendar of events for my theater which featured shows that took place at the same time, same place each week. At the end of 2016 I went to make a change to the dates for 2017.. so I duplicated the last event in 16, changed the date range (from Thursday and Saturday) to Wednesday and Friday in 2017. I clicked on “This and all upcoming events” Well…. it created the new events in 2017 AND changed ALL OF MY PAST EVENTS in 2016 to the new days! Which means that I lost ALL of my show data for the entire year! I have a full attendees list I can export, but I cannot see how many people were at each show, or when the shows were … etc… I lost everything.

The first question I have is WHY? If I duplicated the event on December 31st 2016, modified it to January 7th, 2017, created a Wednesday/Friday date range for 2017… why did it modify all my dates in 2016 and loose all record of every show I had done that year? It really screwed me on taxes!

The next question is How do I prevent this from happening again? Currently I have shows on Saturdays until March in the system. They are located at one theater. I need to add shows for the rest of the year (at another theater) but I can’t afford to LOOSE all the shows I currently have that have tickets sold.

So what is the difference between “All events in this series” and “This and all upcoming events” How do I change the SERIES so if I modify a series, it doesn’t modify ALL EVENTS that I currently have in the system.

Do I have to create a NEW EVENT from scratch in order to create a NEW SERIES? that won’t be modified by accident?

I appreciate your help, because when I lost 275 shows worth of attendance records, tax collection, income, … it just about made me sick.

Hi Guy,

Can you let me know which version of Event Espresso 3 you have installed please?

Also what version of the recurring events manager (REM for short) do you have installed?

To be able to answer that we need more specific details on what was changed. Which exact fields were changed and to what etc.

It sounds like you duplicated the event and then tried to setup a new series using that event, but what your actually doing is editing the current series.

So if you change the recurrence series start dates then the previous events within the series are no longer considered a part of that series, which will be why they were removed if you did the above.

However depending on the versions of EE3 and REM you are using the events should not have been truly deleted, if using the latest versions the events should have been ‘soft deleted’ which basically just means they had their status field set to deleted so EE won’t show them under normal circumstances.

So what is the difference between ā€œAll events in this seriesā€ and ā€œThis and all upcoming eventsā€

Changes made when setting ‘All events in this series’ should apply to all events.

Changes made with ‘This and all upcoming events’ should apply to the current and future events. Or to be a little more specifc, the current events settings are used to loop over the current settings you have in REM from that point forward for the current series you have set.

To create a NEW series then yes, you need to create a new event.

You can extend the current series by extending the end dates within REM, you don’t want to change the starting dates though.

I’m sorry this happened to you, but lets find out exactly what happened and make sure there’s no repeat performances (no pun intended)

Here is a screen shot of what I am running currently. I believe it hard deleted them because when I selected the list to show deleted.. nothing came up.

When I set up the event, I made one (template if you will) and set the 1st event start date, end date (times etcā€¦) and then down below in the recurring events part, I set up the 1st event start / end as well as the repeats every Thursday and Saturday. When I hit submit, it had copied the one event into every Thursday and Saturday for the entire yearā€¦ which is what I wanted.

Wellā€¦ come december 31st, I needed to do the new year. So I went to that last day (31st) duplicated that eventā€¦ (the 31st) which created TWO (31st events). I took the second of the two and modified the dates to Wednesday and Friday for all of 2017. I clicked on ā€œThis and all upcoming eventsā€ (thinking that it would modify that particular event (the 2nd of the 31st events) and all of the NEW events it would create for the 2017 calendar year.

But what it did was create all the new events and DELETE all the old ones. Thats where the OH CRAP moment liesā€¦. I guess I do not know how to create the events where it does not modify ALL of them without modifying them one by one.

Likeā€¦ how do I create different SERIES of events without having to build the 1st event of the new series from scratch? In other wordsā€¦ if I DUPLICATE an eventā€¦ is it automatically in the same series as the event that was duplicated?

I double check when events were set to soft delete and it was from 3.1.37+ so unless you changed these events with an older version they should still be within the database.

Did you also filter to pull all events, not just the first 50?

But what it did was create all the new events and DELETE all the old ones.

That will happen if you modified the start_dates within REM, you basically saying this series has not changed to start from X so anything before that is no longer part of the series and EE will remove them.

The ‘This and all upcoming events’ option doesn’t apply to the whole series like that.

Its an option that allows you to update the events in the series based on the current event, but the actually series itself is set within the REM settings for each event (there’s a master record for the series that is updated when you change the series)

You can’t.

You need to create a new event, copy over all the event details on the new event and then use REM on that event to create a new series.

Yes, duplicating an event in a series adds the dupe to the series of events however something to be aware of is when you update an event REM basically loops over the settings and builds/updates the events that match the current setup, duplicate events that have been added and the dates altered that aren’t a part of the formula will be removed. (You don’t want to use the duplicate feature but if I simply answered ‘Yes’ the above could cause problems)
