Not sure how do set this. I looked at all my past events and they were set to pending payment. All my events max out at 5 people, and they tend to sell out very fast once I post my courses. I have people that go to the website try to sign up for a course, and then their payment gets declines OR they didn’t realize have to pay in order to book their spot, so they leave and never come back or reach out to me. In my mind, that is a failed registration, and I don’t want that to take away from the available spots that are left. Considering that is what I want to happen I should have pending payment correct? How does EE handle it when I have lots of people trying to register at once. I think it was explained to me that when someone tries to register it removes one of the available spots. Then they either pay and it’s successful, and that spot is gone for good, or the registration is unsuccessfully and at some later point in time that spot is made available. If that is correct how long before the spot is re-released? This is always a problem for me as I have a list of over 4,000 people and they are all trying to sign up for these classes that only have 5 people. Any input would be appreciated. |
Yes, a default status of Pending Payment is what you want. If it was set to “Approved” then a registration without payment could reserve a spot.
That’s correct, the spot becomes available again approximately one hour later. |

Sometimes a course is listed as sold out, and this is due to people registering but they didn’t understand they had to pay to hold their spot so they leave and never come back. I occasionally get people that call me saying I want to confirm the course is sold out, and I see it’s listed as sold out but let’s say I only see 4 confirmed payments. My courses max out at 5. This happens because there was a failed registration and it takes time for the spot to be released. To make matters more confusing there could also be another person who is in the process of trying to register while I’m talking to the guy on the phone. Is there a way to determine the difference? Determine if the last spot is being held from a failed registration vs a registration that is happening at the moment in time and might end up as a good registration? Is there a way to manually release any old spots from failed registration but not do that to a person who is in the process of registering at that moment? I’m sure this isn’t normally an issue its just that I have 4,500 people getting an email about 5 classes that have 5 spots each. It always creates lots of frustrations with students who are trying to register and I’m getting hammered with phone calls and emails. Thanks! |
You can check the Event Espresso > Transactions page. Under “Failed” it will show you all the transactions in progress. One thing to keep in mind is people do need enough time to complete the registration form and make the payment. If they’re rushed through it they could make mistakes. That’s why the default session lifespan in Event Espresso is one hour. With your situation, you could have 5 people trying to register at once, for the same event, with zero completed transactions at that moment. The registration process will make sure that limit of 5 is enforced. One add-on you might consider making use of is the Wait List add-on. With a wait list activated then if the event is sold out they’ll at least be able to join the wait list, then if a spot opens it gives you an easy way to send them a notification to let them know there’s room for them now. |
