We don’t have a registration page. Registration was handled by another website and we have imported all the data into EE for ticket scanning purposes only.
Questions:
Hi there,
I remember having tested this before without any trouble but I don’t know why it is not working anymore. My event starts on 3 Jan and the ability to update the attendees’ payment status is absolutely crucial. My problem is that when I try and edit the attendee’s Payment Status (e.g. from ‘Completed’ to ‘Cancelled’, I get an error message at the top of the screen that reads: ‘An error occured. The primary attendee details could not be retrieved from the database.’.
any help would be greatly appreciated.
Does anyone know what could be causing this problem?
This will occur if the Primary Attendee of a group booking has been deleted, as the plugin uses the primary attendee to store data about the group as a whole.
If there were no attendees deleted, then it is possible the import data was incorrect.
Thanks Dean,
This is happening for all the attendees in all 8 different events. We haven’t deleted any attendees at all. We didn’t intend to have group bookings but I suppose these were naturally created because siblings shared the same Registration Id in the import file. However, I didn’t not expecd this to apply across different events. I think the import data was fine because when I first tested the whole system through, there were no issues like this. Any other reasons you could think of?
Thanks,
Hi Dean,
Do you think this is an issue that your team can solve for us? I’m writing from Sydney, Australia. The event begins in 36 hours. QR Codes have already been printed on the nametags of 1100+ attendees and the event runs for 6 days in a row, our hope was to be able to scan nametags in/out of the programm every day and considering we are dealing with children we were really counting on this working well for us as we have invested a great deal of time and money setting it all up. We are more than happy to pay for support tokens but we would really appreciate your immediate attention to the problem.
Please email me on cjo@cms.org.au at your earliest convenience.
Many thanks, Camilo Osorno.
Hi again Dean,
I’m thinking that the problem is probably that multiple records in the Attendee files we imported carry the same Registration Id. This registration Id was generated by another registration website which assigned the same number to all members of the same booking (usually the same family). We used the Import Template that EE suggests and since the Column for Registration Id says it is optional we didn’t think this would create any problems. Furthremore, it seems like EE thinks that all attendees imported using the template are part of a group but none is actually a Primary Attendee, event those with unique Registration Ids (e.g. lone child). In fact they should all be primary attendees. It is too late to replace those Registration Ids because the QRCode obviously uses that field and the QRCodes have already been printed and distributed (1100+).
Anyway, once again, is there something you and your team can do around the back to help us enable the option of updating the Payment Status for every attendee? Otherwise we won’t be able to use the software and all are have to go back to paperbased check-in.
Many thanks,
Camilo Osorno.
We don’t have any staff in Australia, so our timezones are out of sync, so hopefully this will still be of use.
It looks like every single attendee has been added as an additional attendee. It is fairly simple to swap them all to primary attendees and my basic tests have confirmed that it is then possible to update the payment status, however as a lot of these people are sharing the same registration ID’s, updating the payment status of one person will affect every person with that registration id.
Changing the registration id’s in the database will allow for individual payment status change BUT will invalidate all the tickets meaning scanning the ticket will always fail.
I know this is not what you want to hear, but there isn’t a resolution for this now that the QR codes are distributed, so changing the attendees to primary would be the only stop gap solution though it isn’t perfect.
I haven’t touched your database other to download a copy of it. If you give permission I can log in and back up the database and run the script to change all attendees to primary ones.
If you prefer to manage this yourself, the SQL query is as follows:
If changing all records to Primary, would the change of status affect all records across Events?
Yes.
To run the SQL query that you suggest, do you still need access vua FTP?
Typically you’d run an SQL query using PHPmyAdmin.
