Hi, our business doesn’t offer refunds for registrants that are ‘no shows’, is there a way to cancel a registration without it creating a balance for us to pay the attendee?

Hi,

Can you explain a bit more about what you mean by “it creating a balance for us to pay the attendee”? Are you referring to the Event Espresso user interface?

Right, when we cancel a registration the balance for that attendee in the transactions screen shows we have to pay them (the attendee) the amount they paid for the event.

Yes it does show there’s a negative balance in the transaction, that’s a feature based on the idea that when someone cancels prior to the event, they’ll have an opportunity to get a refund.

This scenario sounds bit different though, because you mention “our business doesn’t offer refunds for registrants that are ‘no shows’” Does that mean that after the event, the registrations get cancelled for those that did not show up? If that’s the case, then maybe what you could do instead is use the Registrations > Event Check-In page to keep track of attendance.

Using the Event Check In, how do you mark someone as a No-Show?

We cancel registrations after a No-Show because it shows up in the transactions screen and our custom attendee note system, so we can be aware of it for future classes.

The real issue is tracking the money, the attendee paid, they didn’t show up, but we still need to track the money.

I would advise not to cancel the registration because you provided the service to that customer even though thy did not attend.

You can track attendance or something elsewhere. One way would be to use the Check-ins feature (you check in those that show up, no shows don’t get checked in). Or you could add an admin-only question to the registration forms and use that to leave a note on a registration when there’s a no show.
