Adding a free participant

Hiya,

I’ve been able to register using the backend, selected the correct ticket. But I can’t seem to get the registration set as “Complete”, as I am not using the system or stripe to register a payment. I tried to process a 0 Euro payment, but it did not set the “complete” flag.

What am I missing?

Hi Lisa,

A ‘Complete’ status is only on the EE transaction itself and will only happen when the amount owing is equal to the amount paid.

Have you manually set the registration status to Approved? (Approved registrations count towards your sold values regardless of transaction status).

Yes, It is marked as approved. So the financial total will be correct, as the 150 waived will not be counted. But the client will still end up in extracted CSV on “non” completed purchases.. Thats ok, though.. Any other considerations? The only important factors are 1. that a seat has been taken by the ticket, and 2. that the total financial values are correct..

Apologies but I don’t follow, extracted CSV?

The only important factors are 1. that a seat has been taken by the ticket

That happens when a registration is set to Approved, be that automatically by Event Espresso when payment is complete (or when the registration is finalized based on the event settings) or manually by the admin.

and 2. that the total financial values are correct..

The transaction will show the amount owing for the ticket but nothing paid.

If you need for that registration to show as free, you’ll need another ticket type with no price set on it to add these registrations to. You may be better with an ‘admin only’ ticket (a ticket available only within the admin) if that is the case, officially we don’t have an option to create those but there is a 3rd part add-on that adds the option to a ticket.

I can walk through how you can use that for this if that will work for you?

That would be great if you could. As I understand it, it would be two solutions. Either an admin only ticket at 0 euro.. which would work.
Or some kind of discount code, that changes the ticket value to 0? Either would work for us.

Sure, you can use either of those options.

For admin only tickets you can follow this:

Install the plugin on the link, create a 0 priced ticket on the event and click the icon. Then set visibility to admin only.

That ticket will then only display when you add the registration through the admin (Event Espresso -> Events -> {hover over event} -> Registrations -> Add new registration (button at the top))

You can use a promotion code to do this is you prefer, however, the promo code will display on the invoice meaning people can see what the code is and can use if the try it.
