Specific event management workflow

Hi EE team,

Please advise if following workflow would be possible somehow using EE tools:

Event manager comes first with event as an idea. Calculates approximate event costs and capacity dependent on the optimal club/venue capacity. Creates event website including EE plugin, with artwork/event/artist/club description and multimedia material.

PHASE1 – demand tracking period. Event website goes online and promotes the event idea. No exact date for event is set at this stage and EE interface is being used only for attracting/registering attendees, who would support such event idea/club/line-up… Early bird ( guaranteed ) ticket registration for “GOING”. Second group would be “MAYBE” with no early bird pricing and ticked is not guaranteed. Registering via event website must be email based registration with confirmation link ( avoiding robots and fake attendees ). Registering ( confirming ) on the site would send the attendees an mail invitation to the FB ( secret ) group and uncover facebook button on the website after confirming. No FB group access without event website registration. Again – event date is either unknown or roughly estimated at this stage ( event manager waits with contracting artists, club, hotels, flights, etc ). Ticket price is estimated and shown at the event website.

PHASE2 – demand exists. After registration deadline, event idea either ends ( low demand ) or turns into real event with a date = event attendees treshold has been reached. Short period for the event manager to organise the event and announce final event date.

PHASE 3 – payment collection, capacity buffering period. After event date announcement, GOING group ( supporters ) get their early bird ticket invoice per email or better – can pay directly via the event website ( email login ). MAYBE group receives invoices as well, but not at the early bird price, but street price. If capacity allows, late registrations to the event website will be enabled. This goes down all to the max event capacity tracking.

Event happens and its costs are fully covered.

This is it. There are other nuances like atendees groups, mailing, payments, but first I would like to know please, if EE (which version with which addons ) will help me to launch this workflow ( or similar ) and then take care of “doable” things.

Hi,

Please note that while EE is GPL support is only given to each site with a licence key, so you may need to purchase more licneces depending on your set up and needs.

You could use the JSON api add on to display events on other sites, and use the site with the EE plugin as the registration point.

Phase 1

We don’t have any Kickstarter style features so this may prove harder than you think to achieve. An event will need an event date adding, there is no way for it to have a bank event date.

Registration is done via the website, there is an email confirmation, but not an email validation which is what you are requesting here.

The FB button access would have to be handled via some sort of membership plugin or via the confirmation emails.

Phase 2

As there are no crowdfunding features, this would have to be done manually.

Phase 3

Emails cannot (currently) be scheduled so the admin would need to send these via the admin dashboard. EE4 currently can’t handle mass emails.

Overall I think that EE probably isn’t going to be the right solution for you, at least not without some third party plugins and probably some customisations to EE/custom plugins

I think EE could be used also in my case, but in the kickstarter phase1, the event date could be set like year 2999, which Im ok with.
The user can register for the event also in phase1 seeing sell start + sell until + capacity + price ( needs to be defined by the event manager ). The event manager would get nice overview about the market demand. Important – no payment for any attendees during this period, payment would happen after true event date is published by the event manager by invoicing all attendees per email ( discount pricing ).

After “supporters” get their invoices and real event date is set, no more discount tickets from the kickstarter phase will be available. Next bunch of tickets will be added to EE according to the phase1 numbers, but already at regular pricing.

The questions:
I want to let the attendees register in the kickstarter phase, but I dont need they pay immediately, I want them pay as I or EE automaticly challenges them at specific date per email. How would EE invoice these registrants? It is automatic ( @”until date”? ) or admin needs to do that via dashboard manually?

If a attendee wants to register to an event, which personal data EE requires from him? I hope only name/surname + email. Does he select also how would he like to pay later at this stage? I want them to register but I want to set, that during the kickstarter phase only “pay later” option is possible.

When a attendee registers to such event via EE, you wrote there is a automatic confirmation email. How much own custom data can I place into this confirmation email? No problem by feeding this content by external plugin? The point of this is, attendee receives 2 emails after registration: EE, which is basically option to buy ticket later + party info. I need to include as much possible party information into this email confirmation. Second email would be automatic secret FB group invitation link.

Right now it’s a manual job in both EE3 and EE4. We have plans to add this type of schedule feature to EE4 in the future.

The minimum is first name, last name and email.

You can use the Invoice option, or set the event to Pre Approved (Not Approved in EE4) which means they don’t need to pay until you approve them and the email goes out.

In both EE3 and EE4 you can customise the attendee emails. EE4 allows admin emails to be customised as well.

You can add as much information as you like, just like a regular email.

You may be able to do this, but you would need to custom code a function to filter the content.
