Group and recurring appointments with some other special requirements

Hi.

I’m interested in using Event Spresso through WordPress to create a system for one of my clients, but I want to know more details about your software. Do you think it could meet the following requirements?:

1. My client runs several dancing schools in which people take classes in groups with a maximum number of 10 participants/students (group appointments).
2. Each student have a fixed hour and day to take the class every week (recurring appointments).
3. Each of them have an user and password to access the system, which allows them do this: at least 24 hours before a class, the student can cancel attendance to it and the system must provide he or she the opportunity to register in another group/class of that same week and of course not exceeding the 10 participants limit. Even when they do so, their default fixed hour to take class must remain the same.
4. Payments are managed outside the system, but every student should have some kind of “confirmed” o “unconfirmed” status to know if they have paid the monthly school fee.
5. An unconfirmed-student’s appointment must be deleted from the schedule automatically if he/she is not manually confirmed by an administrator 24 hours before the class.

Administrators of the system should:

7. Add/remove/modify students usernames, passwords and personal info (student number/code, name, status, etc.).
8. Add/remove students to/from groups.

9. Ideally, instructors will be able to register attendance of the students to each class and the system would keep statistics or at least records of it.

It would be helpful if you could point me out which package and addons I should get to create all this.

Hi,

THanks for your interest in Event Espresso. If you haven’t already, why not test drive EE4 for free, over at http://demoee.org

Events and tickets (EE4) can be set up to have a maximum capacity.

2. Each student have a fixed hour and day to take the class every week (recurring appointments).

EE is not an appointment system, so cannot block times, but you could use the question system to obtain a preferred time form the attendee.

3. Each of them have an user and password to access the system, which allows them do this: at least 24 hours before a class, the student can cancel attendance to it and the system must provide he or she the opportunity to register in another group/class of that same week and of course not exceeding the 10 participants limit. Even when they do so, their default fixed hour to take class must remain the same.

EE4 currently doesn’t allow users to cancel or manage their events (this will be coming in future versions). Once an event is cancelled they will need to re-register for another evetn and pay. The time situation is the same as number 2.

4. Payments are managed outside the system, but every student should have some kind of “confirmed” o “unconfirmed” status to know if they have paid the monthly school fee.

There are various payment options, e.g. PayPal, and the attendee will recieve confirmation of payment both on screen and in email.

5. An unconfirmed-student’s appointment must be deleted from the schedule automatically if he/she is not manually confirmed by an administrator 24 hours before the class.

Pre approval can be done, though what happens is the space is not confirmed until the admin approves it.

I’m not entirely sure what you mean by this, but all attendees for an event are listed, you could export it to CSV and modify there, but there are no groups with an event.

Yes, this is possible.

If you mean events, then you can of course delete attendees and manually add attendees in.

9. Ideally, instructors will be able to register attendance of the students to each class and the system would keep statistics or at least records of it.

EE4 doesn’t yet have an addon to manage staff, but it could be done via a role editor as the underlying code to manage it is there.

Looking at your needs, I’m not sure Event Espresso is the right fit for your client, it looks like he needs more of an appointment system rather than an event management system.

Don’t get me wrong, EE could handle a large chunk of what you need, but I think you will end up needing custom development to get certain features which EE just doesn’t have.

As mentioned, it might be worth checking out our EE4 test drive so you can see for yourself whether it meets your requirements or not.
