The Wait List Manager collects registration information from attendees when an event or individual ticket reaches capacity. It monitors availability and can automatically notify and promote the next eligible attendee when a suitable space opens, allowing them to confirm their registration.

Choose Whole Event mode to open the wait list after every ticket option sells out, or choose Per Ticket mode to offer a wait list for an individual sold-out ticket while other tickets remain available. Here is an example to help you understand how the Wait List Manager can work for you:

  1. The Wait List Manager becomes available when an event sells out or, in Per Ticket mode, when an individual ticket sells out.
  2. It collects attendee names, email addresses, ticket preferences, and quantities, up to the wait-list limit you choose.
  3. It monitors the event and its tickets for available capacity.
  4. When a suitable space opens, it contacts and promotes the next eligible attendee so they can confirm their registration.

You can think of the Wait List Manager as a personal assistant that works tirelessly for you to keep your events full!

Here are a few ways event organizers use the Wait List Manager:

  • Collect information from students interested in a class or course that is full.
  • Offer a wait list for an individual sold-out workshop while other workshops remain available.
  • Display an event-wide wait list after all conference tickets sell out.
  • Measure demand for sold-out ticket options and use that information when planning future events.
Management

Enable on a per-event basis

Enable wait lists separately for each event and choose whether they apply to the Whole Event or to individual sold-out tickets.

Management

Whole Event or Per Ticket

Open the wait list after the entire event sells out, or display a “Join the wait list” link for individual sold-out tickets while other tickets remain on sale.

Management

Manually or automatically promote attendees

Automatically promote eligible attendees when suitable capacity becomes available, or manage wait-list registrations manually. In Per Ticket mode, promotion respects the attendee’s selected ticket.

Management

Buffer spaces

Reserve some available spaces for manual control instead of allowing every opening to trigger automatic promotion.

Tickets

Quantity of tickets

Attendees can choose how many tickets they want when they sign up for the wait list.

Tickets

Collect contact information

Collect the attendee contact information when people sign up for the wait list so they can be contacted later.

Tickets

Waitlist capacity

Set the maximum number of registrations that the event’s shared wait list can hold. When the wait list is full, event-level signup buttons and per-ticket wait-list links become unavailable.

Management

Wait list messages

The wait list manager creates three additional email templates for different scenarios when interacting with wait list attendees: added, promoted and/or demoted.

Management

Send message

When attendees are promoted from the wait list, you can manually or automatically send the appropriate emails (added, promoted and/or demoted).

Benefits of using a wait list

Wait lists maximize attendance by filling spots from cancellations, ensuring the event stays at full capacity, and potentially increasing revenue. It provides valuable data on demand, enhances customer engagement by keeping interested attendees in the loop, and offers strategic insights for future planning. Additionally, wait lists elevate the perceived value of an event, creating marketing opportunities and improving resource allocation based on attendee interest levels.

Events

Wait lists help fill every seat or get events to their capacity, maximizing the audience size and enhancing the event's energy and engagement with attendees. Wait lists also create a sense of exclusivity and high demand for the event, which can increase the appeal and perceived value among potential attendees. Heightened interest can lead to more buzz and word-of-mouth promotion, further elevating the event's profile in your niche community and across social networks.

Organizations

Wait lists provide organizations with valuable demand forecasting and strategic planning for future events. They help in building a database of potential attendees or clients, offering insights into audience interests and preferences, which can be used for targeted marketing and engagement strategies. Also, wait lists enhance customer relationship management by keeping interested individuals engaged with the organization, improving the potential for future conversions and fostering long-term customer loyalty to your brand.

People and teams

Wait lists serve as an efficient tool for managing workload and prioritizing tasks, especially in the context of event planning and execution. They enable teams to gauge interest levels and adjust their strategies accordingly, ensuring resources are allocated where they have the most impact. Wait lists enhance teamwork and shared objectives by converting wait list attendees into attendees with sales and revenue. Wait lists also refine team members' customer service and engagement skills through interactions with potential attendees.
