Wait List transaction questions

I had an event that filled up and someone’s registration was displaying as wait list with their event date in purple, even though their transaction went through. When I increased the quantity to remove that person from the wait list, do I need to send them any confirmations that they are no longer on the wait list? It doesn’t look like I do, it looks like he was confirmed, but I don’t understand what wait list means in this instance.

I do not have the wait list add-on installed.

possibly, you set it to auto promote registration when you increase the number of ticket.

You can still go to each registration and resend confirmation

But I don’t have the wait list manager plugin installed. Why would it go to wait list if I don’t have that installed?

And why would it charge him the full amount *before* I increased the tickets if he was on the wait list?

I just noticed that I had another “wait list” registration. It is for an event that is in the past, Sept 11, ’23. Once again, it is showing as Paid/Approved, even though it is listed as purple for wait list. When I try and filter the registrations for wait list, no one shows up. I can’t pull up the old ticket to see anything about it.

So, there are 3 issues: 1. why are people showing up as wait list when I don’t have that feature installed? 2. Why are their charges going through if they’re on the wait list? 3. Why can’t I filter and see all of the wait list registrations?

Wait list is still a reg status in core and can be used if registrations get bumped. for example, if people register put choose to NOT pay immediately during initial registration process, their registrations will have a status of Pending Payment (RPP).

Then if they come back later to register, but the event has since been sold out,
their registration will get bumped to Wait List (RWL), because leaving them at RPP would allow them to pay and get access to a sold out event. Bumping them to RWL prevents the event from being over sold.

The Wait List Manager add-on provides extra functionality that allows admins to notify registrants on the wait list if new spaces become available for the event, and then bump them back to RPP so that they can pay and get a ticket.

Ok, I understand that scenario. But in my case someone’s event date was purple indicating wait list, but they had paid, and the payment went through. Why did charges go through if they’re on the wait list?

Also, why aren’t all of the wait list registrations showing up when I filter for them? As I showed in my screenshot before, when I try to show registrations filtered by wait list there are none, even though if I search for the person I know is listed as wait list, his event date is still purple.

You don’t show the transaction in your screenshots but the colour of the payment is green, which indicates the status of the payment itself is approved/successful.

Also, why aren’t all of the wait list registrations showing up when I filter for them? As I showed in my screenshot before, when I try to show registrations filtered by wait list there are none, even though if I search for the person I know is listed as wait list, his event date is still purple.

That person has a registration status of Approved, they are not a waitlist registration. See how their name is green, that is what indicates their Registration Status.

The Event Name colour indicates the status of the event itself or possibly the datetime it depends on the setup. In this case it looks like that registration is assigned to a postponed or sold out datetime?

Right, but then why is their event date in purple? I’m looking at the legend and it says purple is wait list. When I did another sort I had a whole bunch of purple event dates with green names and payments that went through. What does that mean if not wait list?

I have never postponed an event, and that event was not sold out.

This just doesn’t make sense to me.

The colour of the event date has nothing to do with the registrations status there, it’s related to the datetime/event itself and NOT the individual registration

Rather than me guessing from the colours and they trying to have you sort through to figure this one out can I take a quick look in the admin so I can see what is happening?

I think we need to add more details to the legend here because the colour of the event date does NOT indicate the status of the registration.

There’s a lot of information being passed to you within that section using each section’s colour to provide details, so:

A purple event date does not mean the registration is a waitlist registration, it is indicating the current status of the datetime shown.

I haven’t logged into your site yet, I’m going to know, but I added this for context.
