Wait List Preferred Option

We have used wait lists with auto promotion on 2 events. Our events have multiple times at 20 minute intervals, i.e.10:00, 10:20, 10:40, 11:00 etc. The Sign up for wait list has a preferred option selection list matching those times.

Most users want the earliest time and so selected 10:00. When a cancellation space came up at e.g. 11:00, the use was promoted to the 10:00 slot even though this was full and then oversubscribed. We had several cancellations for each event and the 10:00 slot therefore was very over subscribed.
Surely the preferred option should not automatically override the full times but allocate to the cancelled space?

Hi there,

The preferred option allows the waitlist registrant to assigned their registration to a ticket available on the event.

The auto-promotion feature promotes the next registration in the list of waitlist registrations, we don’t automatically move registrations to other tickets when promoted so they will be promoted on whichever ticket they selected.

This means you wont be able to use the auto-promotion feature for the above as you will always end up overselling specific tickets (in your example it’s the ‘earliest’ ticket).

You’ll need to use manual promotion for event like these:https://eventespresso.com/wiki/wait-list-manager/#usage

When a user cancels a registration, you’ll need to use the attendee mover add-on to move the move the waitlist registration onto the correct ticket within the event, doing so will automatically promote the user for you and if you trigger the notifications during the process they get the Pending Payment email.

Belated thank you for your response. It’s a real shame there isn’t a way to autopromote to the cancelled space, however our event administrators will have to use manual promotion as you suggest.
