Use Plugin For Parent Teacher Conferences

I need a solution for people to register for 15 min slots for parent teacher conferences. Once a parent register with a teacher , that slot becomes unavailable. The appointments can them be printed per teacher.

The parent would select a drop down to select a specific teacher an their open times would display.

Can this be accomplished with this plugin..

Ps. would also need to use another calendar for parents to sign up to work concessions for sporting events

Hi Scott,

It wouldn’t be able to export out the appointment list for each teacher, but you can export out the entire list into something like Excel and sort it out that way. It wouldn’t be an automated process in that case.

Right now I’m looking at a Parent-teacher conference sign up form from my son’s school (it’s on paper) and thinking of how I’d enter all these times into Event Espresso and if that would be a good way to go. I could see using the Import CSV feature since there would be a large amount of appointment times to enter as events. Again, this would call for using a tool like Excel to help get all these appointment times into Event Espresso. Each appointment would have a limit of one so the slots would become unavailable after a sign-up. You can test out the import CSV feature on our free test drive site if you’d like:

For the second part of the question, you could set up a Navigation menu using the built-in WordPress navigation menu system and create a page for each teacher and set it up in a drop down in order to get a dropdown selection. Then link each menu item to a page that displays an agenda view calendar or list of the appointment times available for each teacher.

An alternative method would be to display a list of teachers on a page that would link to each teacher’s conference schedule. We have a shortcode that would help in this case: EVENT_ESPRESSO_CATEGORIES

After setting up an event category for each teacher, you could create a page and place something like this on it:

[EVENT_ESPRESSO_CATEGORIES cats=”1,2,3,4″ links=”76,79,86,88″]

So where it says “cats” is the category ID for each teacher, and where it says “links” is the page ID that has been set up for each teacher’s conference schedule.

The calendar feature allows you to display events by category, so you could create a category for working concessions at sporting events and assign these events to that calendar.

Hey Josh, i think I follow you some thanks. but could the parents actually see the open time slots on the calendar per each teacher.. anyway you can set up a working demo of maybe 2 teachers to show me how it would work and provide me a link…?

One thing that I did not think through all the way in the above reply is that the import CSV feature does not accept a category ID. So, while entering a lot of appointment slots in bulk via the CSV importer wouldn’t be too bad, assigning appointments to a teacher/category could be very tedious if it was done through the event editor. If you or a developer are comfortable with phpmyadmin, you could probably work around this limitation by assigning the appointments in bulk directly in the database. Or even import another CSV to the category relation table that would connect each slot to a category. Right now, that’s probably the only way to group each set of appointments together by teacher.
