Ticket Quantity vs Ticket Registration

Dear Support,

I have currently a live event where the number of places available in total are 300, which means that no more then 300 people can register for it. At the same time this event has 3 type of tickets: Early Bird (cheap rate) with a maximum of 100 tickets/registrations, Standard ticket with maximum of 175 tickets/registrations and the Last Minute with the remaining 25 tickets/registrations.

From the: “Event Tickets & Datetimes” I have noticed that we have sold 55 (I assume this are tickets) but the registrations are 64, which make me realise that perhaps my event is not properly setup.

At this point my big question is: How do I setup the system to stop the sale of Early Bird ticket at 100 registrations instead of 100 tickets which may result in an even number of registrations?

Hi Andy,

The thing to remember here is that a registrant can start a paid registration but they will not be counted unless they actually complete a payment.

By default, if the event is paid, then the registrant needs to register and pay to receive a status of approved. Registrations with an approved status are counted on your limits that you set.

For example, if Event ABC has 25 spots available and 10 people register and pay, then there will be 15 remaining. If 5 more register but do not pay (e.g. I change my mind about the event), then there would still be 15 spots available.

This can get tricky if you are offering any offline payment methods because there isn’t a way to know if those registrant/attendees will follow through and pay.

Set the datetime for the event to 300.

Then set the limits for each ticket option through the individual tickets and then save changes.

If you need to account for some tickets offline, then try temporarily lowering the limit to say 75 as you could always raise it back to 100 if needed.

Hi Lorenzo,

perhaps this will help you better understand how my system is setup, we only use 1 payment system “Stripe” and the default registration status is set to pending payment, once the payment transaction is completed, then changes to approved. On top of that the maximum number of tickets allowed per order is set to 4, which I understand that in one since purchase 4 tickets are bought at once.

I am trying to understand your message but, I am sorry to say without much success.

Is there any chance you could clarify how I should set this event so that when 100 registrations target is achieved this ticket price turns off and the new one turns on?

Hi Andy,

That looks correct. Remember that only an approved registration will “count” for your limit. This is because these are attendees/registrants that have paid for your event.

Hi Lorenzo,

so in this case when the registrations will reach 100 the current ticket should switch it self off and the next ticket should turn on, is that correct?

After 100, then that ticket option will no longer be available for registration.
