Still figuring out EE4

Hello EE support friends,

Thank you for your support and I apologize if I’m taking too much of your time trying to figure out EE4. The following are a few issues I’m having and need some guidance:

1) Maximum # not imposed – We often have our events fill up very quickly with some users being locked out when it fills up. In EE3, if an event filled up while others were in the process of registering, it just wouldn’t give the option for the user to pay and complete the process. Although this caused confusion as users thought the system was not working when the event was actually full. I just did a test to see what would happen if multiple people attempted to register at the same time with one of us being locked out once it was full. The system actually allowed both of us to register, get confirmations, and the event showed that it had 1 person over the max number. We cannot have this happen if many people are trying to get in at the same time and it accepts all of the registrations. What do you suggest?

2) In EE3, I was able to customize payment information in the individual registrations changing ticket prices. I do not see that option in EE4. In the initial registration, the ticket amount was for the deposit. Now I need to invoice for the remainder. How do I do that?

3) Lastly, for some reason users are getting double confirmation emails. This was not happening at first, but after a couple of test registration, the user gets the same email twice. How do I fix that?

How do you make it so the events do not show up on the registration page once they are full.

Hi Erin,

Here is feedback on your current questions. If you have any new questions that are different than these, then please create new support posts for those new questions.

There are multiple checks in the registration checkout process but there will be a possibility of overselling if you are using PayPal Standard. This is because the IPN can take anywhere from a few seconds up to 15 minutes or longer. You can reduce this by using an onsite payment gateway that processes payments in seconds. An example would be Stripe or Authorizenet.

Event Espresso 4 does not support partial payments. The recommended workaround is to create two events — one for the deposit and one for the final payment. Then you can use the newsletter option to send the link for the final payment event.

Try setting up a transactional email service like Mandrill to rule out issues with the local email server:

The sample code in the link above will remove expired events from a page using the ESPRESSO_EVENTS shortcode. It can be added to your child themes functions.php file or a site specific plugin:

This occurred when selecting the check option and not paying via PayPal. Our users will use both check and PayPal during the checkout process. I understand what could be done in a PayPal situation with Stripe or Autorizenet, but what about when users select to pay by check? Our events tend to fill up very quickly, so it is common when users are in mid registration when an event fills. We cannot have people getting in when it’s over the maximum. It will not only mess us up in terms of our numbers, it’s an awful experience for our users if they get in, but don’t really get in.

I’m starting to not like EE4 as I find it much more limiting than EE3. What is the newsletter option?

We already have Mandrill set up on our site and we still got duplicates. As I mentioned this just started happening and did not occur in initial testing.

Hi,

Check payments do not count towards the limit until they are marked as paid.

The newsletter option can be found on the registrations overview page within your WP dashboard. It allows you to send a notification to multiple registrants at once.

Thank you for your reply. I’m a little surprised to hear that the check option does not count towards the limit. This was not the case in EE3. This is a huge concern for us as we have many people select check, but we need the event to shut off at the limit. Why does it not count if registration is approved? If there’s no way around this, it might be a deal breaker for EE4.

Hi, it will count once it has been approved. Until then, the status is pending payment. Here is the issue that you could run into.

Lets say that you had 15 available spots.

Then 10 were registered for via PayPal or an online payment method which would leave 5 spots.

Then 5 registrants registered for the 5 remaining spots via Check.

A couple days prior to the event, you have not received any payments for those spots. Upon contacting those registrants, you learn that they are no longer interested in attending the event and won’t be paying anything.

How would you handle this in terms of the event having less attendees/registrants than expected?

We expect payment within a week of registration, and we typically have a wait list if someone decides to drop out. The main issue for us is when we have 30-40 people registering at the same time for 20 spots. In the past, we’ve had people shut out during mid-registration once the class is full. Basically, we cannot have all of those people in mid registration actually get in and go over the max limit. We can’t have people getting confirmation emails and registered for the class if it’s over the max limit.

Hi, could the pre-approval (not approved) registration status be used for this?

Then you could approve the registrants that are first to register and they’ll be able to pay for their transaction.
