Single printable group ticket

I’m using Event Espresso to manage a children’s book festival.

I’m going to be registering a number of very large school trips. Those groups don’t need a ticket printed for every child. They need one ticket under the primary registrant that can be scanned and marks the whole group as present.

I’ve tried looking at custom templating but I’m not getting anywhere. Is this possible?

Any help is greatly appreciated!!

Hello,

If the personal question group is collected for additional registrants, then a ticket will be generated for each additional registrant.

You could update the event through the event editor to collect only information from the primary registrant.

Alternatively, you could duplicate this event and create one for just group registrations and protect it will a simple password.

Then you can further customize the registration form to collect just information from the primary registration.

I’m only collecting personal details on the primary registrant but when they click on the ticket link it has a ticket for every person.

I want a scannable ticket for the teacher that will check in the whole class. Is that possible?

Hi there,

Not currently, no.

What you can do using the EE4 Barcode Scanner add-onis check-in all of the registrations within a group at once – http://take.ms/FTaHK

So you would lookup the registration, hit view group and then check-in all the registrations from that group.

The ticket is still only a single registration ticket, but because its linked to a group you can pull the info for the rest of the group and check them in together.

Would that work?

(Note this is not currently available within the EE4 Ticket Scanning mobile apps)

Thanks for the response that will work for this year. Is there anything on the roadmap that will address our use case? This festival happens every year. I thought Event Espresso would address our needs but in practice, I’m encountering a lot of issues.
Now that I have teachers registering they are getting constant timeouts and the registrations are failing. I’m wondering if this could be due to the numbers involved. They are registering 100s in one go.
I’m not getting this message during attempts to register:
Internal Server Error

The server encountered an internal error or misconfiguration and was unable to complete your request.

Please contact the server administrator, webmaster@vachildrensbookfestival.com and inform them of the time the error occurred, and anything you might have done that may have caused the error.

More information about this error may be available in the server error log.

Additionally, a 500 Internal Server Error error was encountered while trying to use an ErrorDocument to handle the request.

That should say “I’m NOW getting this message during attempts to register:” instead of “I’m not getting this message during attempts to register:”

Do you mean for the mobile apps or something other than the above?

The barcode scanner addresses the issue but its not currently available through the apps.

Yes, its likely caused by registering that amount of registrations in one go, so your users are selecting over 100 tickets in a single registration?

More information about this error may be available in the server error log.

Do you have access to the servers error logs? Have you check within those to see what error is being thrown?

As a guess I would say your site is hitting the max execution time limit, by default that would be 30 seconds, is that how long it takes before you see the above?

You can create a test event I can run some registrations on and post the link please? (You can password protect the event and post the password to prevent your users registering if needed)

On your for question regarding the roadmap, I was referring to something that could handle group reservations like ours. TThe reservation process allowing the person to enter just once set of information and how many tickets they need and that being all that is stored for their reservation … not separate records for every attendee in the reservation. For the check in to be able to just scan that one ticket and check in the whole group.

We are registering numbers over 100 at a time. Here is a test even to run some tests – http://vachildrensbookfestival.com/events/the-aardvark-was-my-warm-up-act-2/

I’ll check on getting the information from the server logs. I believe I can pull them via ftp.

I upgraded my hosting to give me more available memory but that has not helped. 🙁

I ran a couple of registrations on your site selecting a ticket qty of ~150

It worked but slowly.

I then ran another with 230 tickets, again this worked although it takes a long time to process all of the selection.

Tickets currently have a one-to-one relationship with registrations, so each ticket selection generates a registration, this is is part of the processing that is taking the time on your site. It is also the part that prevents you from selecting a single ticket and checking all of those registrants in at once.

It can be done with the above, but its not the same as what you are looking for.

Changing EE to allow a single registration to be used for more than one ticket would take some considerable customization of EE and is not something we currently have plans for.

The errors you posted above are likely from hitting some form of limit on the server, it could be max_execution_time or some form of query_limit set on the server, if there are any errors shown in the logs that would help narrow it down.

Increasing the server resources (or type) should help some, but with that high of a ticket qty you will also see processing time once the ticket selection has been submitted.

Thank you for checking into this for me. I guess I’ll need to think about whether there is another way to handle this and still use event espresso. For this year’s event we are working around the issue but it’s not something we can continue to use. There has to be a better workaround or another solution.
Unfortunately, we are a rapidly growing festival that relies on sponsorship so we can continue to let kids attend for free. There’s no way we could afford the required customization.
