Setting up Wait List events with Recurring Events

I’ve got the members add-on, multi event, recurring events, calendar & mailchimp plugins downloaded and set up using the Canvas theme from Woothemes.

The gym has 8 classes a day M-Th and 6 classes on Friday. So far, I’ve got over 400 events set up with the recurring events manager. We would like to have a waiting list for each event so that if someone drops, then someone on the waiting list can be automatically moved over to the open seat in our gym class. Can the waiting list work this way?

What is the best way to set up the waiting list event with recurring events?

That’s not exactly how the waiting list works. A waiting list event is the same as a regular event except that the only way people can see it or register for it is if a primary event fills up and has no more spaces left. People can sign up to be on the waiting list and, at some later date, that waiting list event can be changed into a new event.

What you could do is just have a single waiting list event for each class (or type of class/subject/whatever), not necessarily one for every event. Multiple events can have the same waiting list event, which is what I would recommend. Then, if someone drops or cancels, you can contact that person and sign them up for the regular class.

…and, actually, with the Attendee Mover tool we’ll be putting up on our Pre-Release Downloads page in the next couple weeks, you’d be able to take an attendee from your waiting list event and move them directly to the new event.

One thing to keep in mind is that the waiting list event, for you, isn’t (or doesn’t have to be) an actual event — it’s just some place where you are storing names of potential attendees. Likewise, then, you don’t need to worry about attendee limits, or having multiple events using the same waiting list (as long as you don’t have a Gymnastics class sharing the same waiting list as a Yoga class).

I guess we could set up a waiting list for our 6 classes per day, but would have to clear them out at the end of each day (that would be a pain). Isn’t there a shortcode that says how many spots are left?

num_completed_slash_incomplete = returns the number of completed and incomplete registrations separated by a slash (eg. 3/1)

num_attendees_slash_reg_limit = returns the number of attendees and the registration limit separated by a slash (eg. 4/30)
