Setting Up Registration Reminders

Is there a way to setup automatic reminders to be sent to pending registrations? We have our events setup as pending approval by default since we approve all our registrants. We’ve been using EE for eight years now and have been sending the reminders manually and it occurred to me that there might be a plugin or workaround to automate this process. Or perhaps an opportunity for you guys to develop something?

Hi Wendy,

We don’t currently have a method to set up automatic pending payment reminders.

We do have an Automated Upcoming Event Notifications add-on:

Which triggers a reminder X number of days before the event itself and you could include details of making a payment in those emails if they haven’t already done so but it’s not a message intended specifically for pending payment registrations.

Or perhaps an opportunity for you guys to develop something?

Whilst we do have a feature for payment reminders on our roadmap HERE it is unlikely to be something we add to Event Espresso ‘soon’ as we are currently working through features with much higher request numbers.

We believe in being as honest as we can about our development cycle so I don’t want the above to come across as I’m simply dismissing your request as I’m not but just giving you an honest answer.

Hi Tony, thanks for your reply and transparency. I appreciate it. What do you think it would take for us to try and have this developed by a third party? Any suggestions or thoughts there? Just wondering because it might be worth it for us since it can take a lot of time to do this manually and sometimes we’ve lost registration revenue due to lack of prompt follow-up.

It’s going to depend a lot on the specifics of what you are trying to do.

If a developer is familiar with our Model System then pulling in the registrations for an event isn’t all that difficult.

Triggering messages from there can be done, or a custom email created and sent.

They’d likely need to use either wp_cron or a real cron on the server if your want this to automatically trigger, or have a button you can click to trigger all of the messages manually. As with most features, the most work is going to be planning and testing that it functions as expected.

How do you trigger reminders currently?

Currently, all registrations that come in need to be approved. Once they’re approved the registrant can pay their registration fee to finalize their registration. We set it up this way so we have control over who attends the event since it is a “curated audience.”

The problem is some people need multiple reminders before they make the payment, and currently that is done manually. I personally have to go in and review the pending registrations and send payment reminders to anyone that hasn’t paid yet. This is pretty time consuming and as we scale up our number of events, this won’t be efficient any longer.

So the objective would be to set it up where after X number of days, the pending registrant would receive a reminder automatically and they would continue receiving reminders until they either paid or cancelled their pending registration.
