Separate registrant info from attendee info on reg form

Hello. We have operated a summer day camp for children for 10 years, and are trying to switch our registration process from an online service to Event Espresso. Currently, a person can register others for an event, while not being listed as an attendee. Basically, we gather Contact and Address information about the parent/guardian registering the children (Attendees), but not about the Attendees themselves. How can I accomplish this with Event Espresso?

The following info is what we gather…

Parent / Guardian performing registration

    First Name
    Last Name
    Email Address
    Home Phone #
    Mobile Phone #
    Address
    City
    State
    Zip

Attendee 1

    First Name
    Last Name
    Age
    Gender
    Shirt Size
    Comments / Instructions
    Emergency Contact Name
    Emergency Contact #
    Waiver Agreement

Attendee 2 (etc….)

Additional Note:
Separating the registrant from the attendees is default behavior with the service we currently use.

Hi there,

Ok, so for each attendee you need to collect the ‘Personal Information’ group, which you’ll likely want to rename to ‘Child Info’ or something similar. The ‘First Name’, ‘Last Name’ and ‘Email Address’ system questions in that group are used to create the ‘attendee’ and you can add as many additional questions to that group as you need so the additional child questions are not an issue.

The parent information you can collect in another custom Question Group which you add any parent questions, as you only need that information once you only set that group to be collected on the primary registrant question groups.

The tricky part for the above is the email address, EE requires an email address when you collect the personal info group and there is no way to disable that, so you can either name the field ‘Parents Email Address’ and not collect that in the parent group or can hide it with JavaScript and copy the parent’s email address from the parent group into that field in the background.

To set this up you go to Event Espresso -> Registration Form -> Questions.

Start with your Child Questions:

First Name
Last Name
Age
Gender
Shirt Size
Comments / Instructions
Emergency Contact Name
Emergency Contact #
Waiver Agreement

As mentioned First Name, Last Name (and email address) will be set up for that group already so you add additional questions to collect any other info.

Then set those questions to the Personal information group in the ‘Question Groups’ tab, click on ‘Personal Information’ and add the additional questions to the group.

For Parent Information, you have a couple of options on how to set it up.

It’s the same process as above, however, Address questions need to be collected in address group, so you can either add additional questions to that group or create another and separate the parent questions across both groups.
