Hello. Hopefully you can help us – we’ve been going around in circles on this for a few days now without much success.

BACKGROUND:

We have a site through which you can book training courses (events). Usually, there’s a booker (generally an office manager or similar) who isn’t an attendee on the course. They would book multiple other people onto a course.

I’ve seen similar posts where this seems to be achievable using Question Groups. As such, we have a booking form that looks like this:

Which is enabled through the event pages in the CMS as follows:

EXPECTED/IDEAL BEHAVIOUR:

In this case, the Primary Registrant might be Bob. He wants to register Jim (Attendee 1) and Julie (Attendee 2) onto a course. Bob will receive the Registration Approved (Primary Registrant) email with a full breakdown of the purchase and a list of attendees.

Additionally, Jim and Julie should receive individual Registration Approved (Registrant) emails, with details of their individual enrolment on a course (i.e. Julie doesn’t see Jim’s details and vice-versa).

CURRENT BEHAVIOUR:

The Primary Registrant (i.e. the booker, Bob) is receiving their email correctly.
Attendee 1, Jim, is receiving the correct Registration Approved (Registrant) email from the system.
Attendee 2, Julie, is not receiving an email at all.

The Registrant email is configured as follows:

When the emails are sent, there is a record of the Primary Registrant and Attendee 1 emails in the Messages log, but no email for Attendee 2.

Each individual attendee has an entry under “Registrations” in the admin area, each under the Primary contact with additional attendee details registered.

My colleague suggests that EE is looping through the new registrations and sending the first “Registrant” email as normal, but is registering this ‘message’ against the Primary Registrant (Bob’s) email. As it loops through again, the system thinks that we’ve already sent a registrant email to Bob (when in fact, this went to Jim) and so no further emails are sent.

If this is correct, I’m hoping you can provide me with a suggestion of an override or workaround so that we can have all attendees receive their registration emails.

Hi Darren,

The way forward will be to switch the billing information fields away from being system fields. The system questions for attendees should only be used for attendee information.

Put another way: Instead of using the system questions like First name, Last name, and Email for the booking agent, use those for attendees. Then you build a new question group for the booking agent and fill that group with specific questions for the booking agent. You’ll assign the booking agent question group to the Questions for Primary Registrant.

Once the questions and questions groups are all fixed up, you can set the Registrant email’s To: field back to use [RECIPIENT_EMAIL], and you’ll set the Primary Registrants email’s To: field to use something like:
[PRIMARY_REGISTRANT_ANSWER_* Booking agent email]
