Request: Add a no show option to Bulk Actions

We check-in those that attended but are trying to track habitual no shows and without that option you might think someone just missed checking them in. Any other suggestions for how to know they were just a no show? Thank you

Sure, while most people pay prior to an event, not all do. Some pre-paid or not register to attend but then do not come. Because the events that we track are not large community events but events for our members we find it helpful both from a planning perspective as well as a communications perspective to be able to track who makes a habit of this. Also when they check-in the attendees (we do it after the event) there is not way to distinguish if the person doing it forgot to check them off or if they did not attend. Does that help?

So we don’t currently have a way to mark no-shows, but, one reading the above the first question that comes to mind whether or not having a no-show option actually solves the problem for you here.

The reason for that is if you are checking the registrants in after the event and can’t tell at that point if the record is either a no-show or a forgotten check-in, how does having a no-show option in EE help? If I’m understand the problem you have currently, you still don’t know if you should mark them as a no-show or it’s a ‘missed’/’forgotten’ check-in at that point anyway.

Or am I missing the point of the above? (Yep, that happens too ๐Ÿ™‚ )

If I am the one checking them in on the back-end and my colleague goes to look at another time it is not clear. If they cancelled we can change their registration to cancelled, makes it clear and easy. But if someone just doesn’t attend there isn’t a clear way to track that.

If either on the front side where you can mark them as cancelled (preferred), or on the back side when you mark them as checked in there is a way to identify them as having not shown up we can look at how many registered versus how many actually attended, and if it exports with the attendees we can look for chronic no show people and perhaps for them institute a register and you pay either way policy. Does this make sense?

That sounds like you mean changing their registration status.

That’s a check-in status.

Both of these are core functions and a lot of logic revolves around the reg status and the check-in status. Changing them out and adding your own (for example a no-show status too etiehr) would be possible, but you would then also need to go through and confirm changing the logic of used throughout for the ‘regular’ statuses isn’t effected.

Would it not work to add an admin only question and just mark that question within the registration if they are a no show? It wont be as ‘clean’ as having a custom status/checkin for this but will allow you to track these… and the value will show in the registration report.

I guess I’m not understanding how we would add an admin only question. It sounds like it might work based on what you are saying. I’m open to trying it. How would I do that?

Do you have a question group you ask all registrants? I’m going to use ‘Personal Information’ for this example but you can use another question group should you want to.

Event Espresso -> Registration Form -> Questions -> Add new question.

Add a question you can use to track no shows, I’ve used a ‘No Show?’ checkbox, yours can be as formal/informal as you prefer.

Save and close.

Go to the Question Groups tab.

Edit the group you want to include this question in (as its an admin only question, it will only show within the admin, not on the frontend).

I’m using Personal Info, you can use any group but it has to be a group selected on your event(s) for it to show up in the Reg questions/CSV (Personal Info is is by default at least once per group).

Now when a registration is made on the front end, that question isn’t shown, but when you edit the registration in the admin it shows up:

Click the link to edit the question, update and then click update registration questions.
