Registration Issue status shows “sold out”

Hi Tony –

Quick question. I manually deleted a registration and am trying to add a new person. The class shows there is an open spots – 20 spots and 19 reserved. but the status shows “sold out” and I can’t change that. So what am I doing wrong.

Hi Matt,

Do you have the waitlist add-on active?

If so, do you have any waitlist registrations on that event and, what waitlist settings are set on that event? (There should be a metabox for those settings a little further down the page)

Yes we do-

Wait List Registrations : 20
Total Available Event Spaces: 1
Wait List Registrants Previously Promoted: 0

Wait List Spaces
20
Number of additional registrants the wait list accepts before the event is completely sold out. For example, if your reg limit for an event is 100, and this field is set to 20, then the wait list form will be displayed until there are a total of 120 registrants for the event. IMPORTANT! Setting this field to zero will turn off the Wait List and prevent any further processing for any registrants that may already be signed up.

Auto Promote Registrants?
No
Controls whether or not to automatically promote registrants from the wait list to the “Pending Payment” status (or the default event reg status) based on their position on the wait list. If no, then this will need to be done manually.

Manually Controlled Spaces
20
Controls the number of spaces that are NOT automatically promoted from the wait list to another registration status. This allows you to manually control a portion of the wait list spaces if you so desire. So for example, if the Wait List had a total of 10 spaces, and you set this to 5, then 5 of those spaces would need to be selected and managed by you, and the rest would be under automatic control. Setting this to zero puts the wait list fully under automatic control, and all registrants will be managed completely by the system.

Ok, so that’s why Event Espresso is not switching the status back from sold out.

If we automatically switched the status back from Sold Out when you have waitlist registrations, you (the admin) and the waitlist registrant never get a chance to be ‘promoted’ for the next available space.

Do you not want to promote the ‘next’ waitlist registration to take that space?

correct- we want to manually control waitlist. we don’t want them to rollover automatically.

we need to control our participants. so we have someone we need to manually enter to leapfrog the waitlist. But just in case we need to fill spaces we want to have the waitlist as an option.

Isn’t that the point of manually controlling the waitlist? So if a spot opens the system will see one open space without reserving that space from someone on the waitlist?

No, the point of manually controlling the waitlist registration is so you can manually promote any of the waitlist registrations in the system, otherwise, EE will promote them based on their registration ID in ascending order.

If you need to add an additional registrant onto the event then currently the only way to do that is to re-open the event. However, if you are adding the registrant yourself, what you can do is set the ‘Display Ticket Selecotr’ option to No and save, then increase the limits on the event to (in your case) + 21 spaces (Sold + waitlist spaces + 1 additional space to register). That will reopen the event but will not display the ticket selector on the front end.

If you click on icon for the datetime it will list the registration in the admin, click ‘Add new registration’ and you can add a registration in the admin.

Once done, set the limit values on the datetime and ticket back to normal.

Last thing quickly and it isn’t a big deal. But the WL registrations show first when selected. I assume because they are the most recent. But they are less important than the actual class registrants so I was wondering if there is an option to put them below the active registrations when I am looking at the details. If its not possible thats fine but I thought I would ask.

So you have a couple of options on how to filter registrations.

Within the event itself, you can click to view specific registrations statues in the update metabox, this section: https://monosnap.com/file/by7GvrfmJvkwSOGsSJIXigh1z3kzSA

Clicking on the links there take you to lists of those specific registrations.

Also, when you are on the registration list table, there is a filter at the top of to select a specific registration status and filter: https://monosnap.com/file/b1Z53nPEUtrEg70HBJ2AuzsiEzdi0q

So you can control the lists to include specific registrations statuses if that helps?
