Questions about Roles

Hello,

We are interested in using Event Espresso as the new online reservation system for our non-profit organization. We have a few requirements that we want to make sure we’re able to fulfill with your system and we’re hoping you can provide some clarification. I have looked through your documentation and can’t quite tell if these requirements will be met.

1. We will be setting up about 20 users. These users will need to be able to create events. The events they create should only be available to them and the master admin when logged in to the admin area, not the other users. Confirmation emails should only be sent to the user who created the event (and the master admin if possible).

2. We also need the users to be able to access the registrant info for people who have registered for the events they have created, but not events created by others.

3. Similar to the above, our users should be able to create coupon codes for their events only. Is that possible.

Thanks for your help. We hope Event Espresso will work for our needs.

Hi Matt,

Thank you for your interest in Event Espresso. I have replied to your questions below. Please let me know if there is anything further that I can help with.

Yes this is possible with the Roles and Permissions and Permissions Pro add-on’s.

2. We also need the users to be able to access the registrant info for people who have registered for the events they have created, but not events created by others.

Each Regional Manager will only be able to view the events they have created unless you allow additional roles/permissions. However, to view the attendees, the only option currently is to view all Attendees for all events. We understand that this is an issue for some of our users and we will be working to correct it in the future.

3. Similar to the above, our users should be able to create coupon codes for their events only. Is that possible.

In the settings of Roles and Permissions you can choose to allow Event Managers access to the discount/promotional codes. All promotional codes in the promotional code area of Event Espresso are visible to all event managers.

4. Is there a way to set up early-bird pricing for events?

Yes you can created an early registration discount for a set dollar amount or a percentage off.

Has this been corrected? We need Event Managers / Regional Managers visibility into attendees to be isolated to their respective events (not be able to view all attendees for all events).

P.S. ~ We purchased the Business License.

Hi Kirk,

I should clarify that there are two ways to view the attendee lists:

1) In the attendee overview. This works as expected with the event manager feature.
2) The all attendee export. This will export a list of all attendees and is the issue that will be fixed in a future version.

Please note that the Roles and Permissions Basic add-on is included with the Business License. The Event manager role/feature is added in the upgrade to the Roles and Permissions Pro add-on. The Pro add-on is available in the Developer license or as an a la carte upgrade to the Business license.

Is your answer “YES” or “NO”

It depends on your question. If your question is “Can event managers view other event managers’ attendee lists?” The answer is no if they are using the attendee overview feature because the others’ events will not display on the screen.

The answer is yes if they go into the event overview and click a button that says “Export all event data” because all of the events and attendee data will get exported into a file that can be viewed in a spreadsheet application.

So that is the logic security hole that you are working on fixing – Yes?

Can you provide an ETA on that fix being in place?
